About this file

This addendum to Invitation to Bid 27-005 is issued by the Douglas County School District in Georgia and addresses questions and answers submitted by prospective vendors for grease trap pumping and maintenance services. The ITB closing date is Friday, September 11, 2026, at 2:00 p.m. EST, with bids to be submitted through the DCSS EUNA/BONFIRE portal. The project encompasses grease trap pumping services across 36 school locations within the district, with tank sizes ranging from 1,000 to 40,000 gallons. Most locations require three pumping services per year, with two exceptions: Chapel Hill Middle and Stewart Middle, which are identified as inside traps requiring eleven services annually. Contact for inquiries is Becky Eigel, Assistant Director of Business Services, at Becky.Eigel@dcssga.org or 770-651-2376.

Key clarifications provided in the addendum address service scheduling and site-specific conditions. All pumping must be scheduled through the Central Office, and vendors may service outside traps before or after school hours. A significant correction addresses Arbor Station Elementary, which the addendum confirms has an outside 5,000-gallon tank requiring only three services per year, clarifying prior conflicting information in the bid documents. Respondents must complete the pricing sheet indicating bid price per cleaning and yearly total for each school location on the EUNA/BONFIRE portal. The district notes that estimated quantities and dollar amounts are provided as estimates only and do not obligate the district to purchase any minimum amount or establish any maximum amount vendors are required to furnish. Respondents must acknowledge receipt of this addendum by initialing and including the acknowledgment with their bid response.

27-005 GREASE TRAP PUMPING / MAINTENANCE SERVICES

QUESTIONS AND ANSWERS

1. What are the allowed service times for the school grease traps, including any specific service windows for certain schools?

- It is acceptable for the awarded vendor to pump before or after hours at schools with the outside traps.

2. Do any of the grease trap locations need to be coordinated with onsite staff in advance?

- All pumping will need to be scheduled through our Central Office.

3. On the scope of work, it states that Arbor Station Elementary should be cleaned an additional eight (8) times per year, but the BT-17HP sheet is showing it to have 5000 gallons. Could you please confirm if that is correct? I see that the only other schools with an additional eight are small traps.

- Arbor Station has an outside 5000-gallon tank. It will only need to be pumped 3 times per year. (Please see attached Respondent Pricing Sheet)

4. On page 20 with the Bid Table, it indicates Arbor Station Elementary has an indoor 5,000 gallon grease trap. We typically have a smaller truck to pump indoor grease traps, and we have never encountered one that is that large in gallon size.

Could you please specify what kind of grease trap container it is and how many feet of hose it would be from the access door?

- Arbor Station has an outside 5000-gallon tank. It will only need to be pumped 3 times per year. (Please see attached Respondent Pricing Sheet)
