About this file

This is a bid response form for Copy Paper (Item 27-003) issued by Houston County School District. The district is requesting pricing for white copy paper, 8.5" x 11", 92 brightness only, 500 sheets per ream, in cases containing 10 reams each. The bid covers six separate deliveries with quantities of 840 cases each, scheduled for approximately July 15, August 15, September 15, October 15, November 15, and December 15, 2026. Paper must meet multipurpose xerographic quality standards at 20 lb weight and be packaged in high-quality, labeled wrappers. Acceptable equivalent brands include Econosource, Fascopy, Xerox, and Boise. The district explicitly prohibits Comet, Whitebox, Natural Choice, Scholastic, and E-Copy Global paper brands, and samples are required for all brands submitted. No substitutions will be permitted after award without prior written approval from the Director of Purchasing.

Bidders must submit pricing on the Excel form provided, with a minimum price hold period of six months requested. Packaging requirements specify that cases must be sturdy and sealed, pallets must be extra-strength to accommodate paper weight, and all boxes must be glued, shrink wrapped, and palletized to prevent shifting during shipment. The bid response form includes designated columns for bidders to enter unit pricing, brand name, brightness specifications, reams per case, model/order numbers, and delivery details. The total procurement encompasses 5,040 cases across the six scheduled delivery periods over a six-month span.
