About this file

This Invitation for Quotes (IFQ) document is issued by Sarasota County, Florida, for the procurement of fire safety education materials to support the Sarasota County Fire Department's Community Risk Reduction Program. The County seeks vendors to supply fire extinguisher training systems and smoke alarms, including both standard photoelectric units and hearing-impaired bedside alarm devices. Specific product requirements include the BullsEye V3 fire extinguisher training system in Base Package and Pro Package configurations, along with SM210 standard smoke alarms and SKU 600100 hearing-impaired bedside fire alarm devices. The County anticipates a one-time purchase with delivery required within thirty days of purchase order receipt during normal business hours (Monday–Friday, 7:00 a.m.–5:00 p.m., excluding County holidays). Response dates, bidder conferences, and award timelines are specified in the OpenGov Procurement portal. The contract will be issued as a Purchase Order, with the County reserving the right to make multiple awards per line item based on lowest responsive and responsible pricing.

All quotes must not exceed $150,000 per project or contract year. Offerors must demonstrate two references showing fire safety equipment experience within the past seven years and must be authorized distributors for the products being offered. The project is funded through a Fiscal Year 2024 Fire Prevention & Safety Grant from the U.S. Department of Homeland Security's Federal Emergency Management Agency (FEMA), with grant terms controlling over solicitation terms. Local and American Business Preferences do not apply due to grant funding requirements. Contractors must maintain comprehensive insurance coverage including Workers' Compensation ($500,000 minimum), Commercial General Liability ($1,000,000 each occurrence/$2,000,000 aggregate), and Business Automobile Liability ($1,000,000 combined single limit), with Sarasota County named as an additional insured. All materials are warranted for one year or the manufacturer's standard warranty period, whichever is greater, with defective units to be replaced or repaired within thirty days of identification.
