About this file
This is a Request for Information (RFI) issued by Sarasota County, a political subdivision of the State of Florida, seeking technology-driven solutions for its 311 Contact Center after-hours answering service. The RFI (#252753MN) is designed to gather information from firms that can provide a comprehensive solution combining software-based automated call response and self-service portal with live answering services during peak hours and after-hours. The county seeks a system that can reduce hold times, triage and dispatch issues, integrate with existing work order systems (Maximo, Cartegraph, and Archibus), and provide real-time status updates and analytics. Peak hours are defined as weekdays from 8 am to 5 pm, while after-hours coverage includes weekdays from 5 pm to 8 am, weekends, and county holidays with 24-hour coverage.
The RFI emphasizes that this is the first step of a potential two-step procurement process, with no guarantee of a formal solicitation or contract award. Respondents are required to submit their proposals through OpenGov, limited to 30 pages, and should be prepared for potential product demonstrations. The county is specifically interested in solutions that offer self-service problem reporting via smartphones, automatic issue escalation, photo and note capabilities, and call centers located outside Florida to ensure continuity during emergency situations. Vendors are also asked to indicate availability through cooperative purchasing agreements like Sourcewell, Omnia, or GSA. All submitted materials may become part of the public record and potentially used in developing future solicitation documents.
