About this file
This is a Request for Quotes (RFQ) issued by the City of Greenville Parks and Recreation Department for Youth Sports Photography services for the 2025-2026 recreation seasons. The document solicits quotes from photography companies to provide professional team and individual photographs for six youth sports leagues (basketball, soccer, baseball, softball, volleyball, and flag football), with three scheduled picture dates on November 8, 2025, February 7, 2026, and April 25, 2026. The total estimated participation is approximately 1,700 players across these sports. Vendors must submit their quotes by October 30th, 2025, and if awarded, must maintain bid prices through September 30, 2026.
The RFQ requires vendors to provide on-site photography staff, coordinate scheduling with the Recreation Department, offer reasonably priced package options, deliver printed photos within 3 weeks of picture day, and provide complimentary coach's and department team photos. Photography companies must include detailed package pricing, additional item pricing (such as magnets and digital downloads), potential rescheduling fees, and upload photo samples or a website portfolio. The document specifies that packages should offer multiple price points (basic, standard, deluxe) and be affordable for families, with the expectation that the selected vendor will efficiently manage picture days across various youth sports programs.
