Will CD/DVD Burners be needed, per SOW 2.4; How many? I would include CD burners (1 per location, excepting OKC archive), at least as an option, if your model includes another way of image sharing.
Training - How many non-radiologist PACS users are there who we will train? For example, Radiology Techs, Referring Physicians, Admins. A local biomed staff should be included in the basic local on-site training. 1Cla, 1Cli, 1Law, 4 Area Office Biomed staff. Also, 1 Admin at each location, all Rad Techs (varying from 1-25 at each facility), selected Super User Referring Physicians that will train other Physicians (up to 10 at each facility).
SOW 2.3.18 - How many facilities will send Dental images? There are 10 IHS dental clinics.
SOW 2.3.18 - How many facilities will send Optometry images? There are currently 7 optometry locations Are we including a 0-Volume PACS for Haskell or is it out of scope for the PACS replacement? Haskell does not need to be included in new hardware, since they are not performing procedures at this time…. They can be added in later. Any images they might get back from an outside referral… they would need to be backed up to the area backup scheme you propose.
Will the Tribal PACS backup images? Will those studies be moved to the new storage solution we propose for the Oklahoma Datacenter? If so, how much storage does the Tribal PACS occupy for backup? Since these studies won't send to your new replacement PACS, will IHS IT Services be moving the data and repointing the Tribal PACS to the new storage location? Not sure if the Tribal location will be wanting to back their data up to us. If they do, they will be required to pay their portion separately.
SOW 2.6 states, " Full and complete warranty and service support in the first year that includes any and all software updates and upgrades, as well as system hardware upgrades, shall be included." Does IHS expect to have the server/storage hardware upgraded (basically replaced) after a few years or just supported for the 5-year term and replaced if it fails? The annual support options should be inclusive of any hardware and software needs over the course of the contract. It is not expected to incur excessive expense for upgrade over the life of the contract, even if the contract for service is extended beyond the initial first year, and four year options.
