About this file

This is an Amendment #1 to a Request for Bids (RFB) issued by the University of Wisconsin-Madison for the cleaning of food service exhaust hoods, fans, and connecting ductwork across multiple campus locations. The solicitation was posted on April 28, 2026, with a submission deadline of May 21, 2026, and responses must be submitted online through the ShopUW+ portal. The scope encompasses cleaning services for food service exhaust systems at multiple facilities including Memorial Union (Kitchen, Rath, and Strada locations), and Union South (Basement Kitchen and restaurants). Kitchen operations vary by location, with hours ranging from 5:00 a.m. to 11:00 p.m., and facilities experience seasonal shutdowns including winter break (approximately December 22 through January 19) and partial summer closures (approximately May 11 through May 15). All systems were constructed to applicable codes and standards at the time of installation. Interested bidders should direct questions to Lori Storvik at lori.storvik@wisc.edu.

The three-year procurement budget is approximately $450,000, with an estimated annual spend of $150,000 per year. The previous contract holder was Ellingson Pro-Clean Inc, which received approximately $750,000 for a five-year term. The amendment clarifies that bid sheet charges are assessed per service rather than on an annual or contract-term basis. The University indicated that detailed schematics for kitchen exhaust systems are not available in electronically transmissible format but acknowledged this documentation gap for future procurements. All systems are equipped with NFPA-approved access panels. Award amounts for contracts prior to the immediate predecessor contract are not available from the University.

2026-UWMSN-01317-RFB Amendment #1 Q1 : Can you provide the previous pricing for these services?

Q2 : What is the three-year procurement limit for this RFB?

Approximate spend is $150,000 per year, so $450,000 for 3 years.

Q3: Who was the last company to carry out previous contract?

Ellingson Pro-Clean Inc Q4 : What was the amount awarded for previous contract?

Approximately $750,000 for 5 years.

Q5 : What times are kitchens shut down (summer and winter breaks) but still serviceable during normal business hours?

In Housing this does vary year to year. Routinely all but one unit will be shut down for winter break Approx Dec 22nd thru Jan 19th. The first week of summer break Approx May 11th thru May 15th we have some if not all units shut.

Memorial union: Kitchen hours 5am-7pm, Rath 8am-11pm, Strada 8am-10pm Union South: Basement Kitchen 5am-4pm, All restaurants 8am-10pm Q6 : Are all systems equipped with NFPA approved access panels?

All systems were built to code and standards at time of build.

Q7 : Could you please provide detailed schematics for all kitchen exhaust systems for all locations?

No, we do not have usable documents that can easily be sent electronically. While we have never been asked for these in the past, we will keep this in mind for future contract processes to have them available.

Q8 : I’m needing clarification on the bid sheet. Just to be clear, each unit has its own separate charge. But is that charge per service, or total for a year, or length of contract?

Per each service.

Q9 : I was also wondering if you could include the award amounts for the last three contracts, not just the previous one.

Unfortunately, no – we are only able to provide the award amount for the previous contract.
