About this file

This document is Amendment #1 to Request for Bid 2026-UWMSN-01277-RFB issued by the University of Wisconsin-Madison for foodservice smallwares procurement. The amendment provides clarifications and answers to bidder questions regarding manufacturer eligibility and submission requirements. Key changes include the removal of TriMark (identified as a dealer rather than manufacturer) and Choice Equipment from the itemized bid list, while Carlisle and San Jamar are now properly identified under parent company CFS Brands, and Bundy Chicago is clarified as also known as Chicago Metallic. Bidders are not required to bid on all manufacturers listed; they may select which manufacturers to include in their proposals and may add additional foodservice smallwares manufacturers not currently on the itemized list if their offerings cover multiple categories of items already represented. The solicitation deadline is May 5, 2026, with inquiries directed to Trisha Wilson at tawilson2@wisc.edu, and responses must be submitted through the ShopUW+ portal at https://bids.sciquest.com/apps/Router/PublicEvent?CustomerOrg=UWisconsin.

The amendment clarifies critical pricing requirements applicable throughout the contract term. Any price increases to the University, whether resulting from changes in discount percentages or increases in manufacturer-published pricing (MSRP or standard price lists), must be submitted in writing with full cost justifications and require University approval before implementation. Manufacturer pricing may change, but such increases cannot be implemented during the first contract year without prior approval, even if the contractor's discount percentage remains constant. If a monthly price list is used, contractors must submit complete updated price lists annually and for any monthly adjustments, clearly identifying all changes including price increases, decreases, new items, and discontinued items. The University reserves the right to review and approve all price updates prior to implementation. Annual submission of new price lists for the upcoming contract term is required for all pricing models.

Q.1.TriMark is not a manufacturer, they are a food service equipment dealer. Please clarify their inclusion in the bid.
A.1TriMark has been removed from the Itemized Bid List.
Q.2.Carlisle and San Jamar are now under CFS Brands. Should we note this by the manufacturer? • Is the manufacturer listed as Bundy Chicago also known as Chicago Metallic? • Is the manufacturer listed as Choice also known as Choice Equipment?
A.2.Choice Equipment has been removed from the Itemized Bid List. Carlisle and San Jamar are listed as CFS Brands. Bundy Chicago is listed as also known (aka) as Chicago Metallic.
Q.3.Does the bid require the supplier to bid on all manufacturers listed on the itemized bid list?
A.3.No, you do not need to bid on all manufacturers.
Q.4.Can we add a smallwares supplier that is not currently on your Itemized bid list? (Offerings would cover multiple categories of items covered by manufacturers on your existing bid list).
A.4.Yes, you can add a foodservice smallwares manufacturer that is not currently on the itemized bid list.

Q.5. Are the price increases referred to in this section regarding the percentage discounts only or does this apply to the MSRP manufacturer published prices? (4.1 Firm Discounts and Monthly Price List)

· 4.1 Firm Discounts. Does this section refer to percentage discounts only?

· Second bullet point states: All proposed price increases must be supported by fully documented cost justifications and included with the written request. In addition, the Contractor must submit a new price list each year for review and approval prior to the beginning of the upcoming contract term.

· On the ShopUW portal, the Technical Response Section 3.1.6 asks the question: Will you be submitting a monthly price list, or will you be using the manufacturer’s pricing available online? If the manufacturer’s online pricing will be used, please specify which website should be referenced for this information.

· Can manufacturer MSRP prices adjust, with the fixed percentage discount applied if the manufacturer updates the pricing during the first year of the contract?

· If a monthly price list is required, would it require only the price lists that contain price adjustments or the entire price sheet of manufacturers bid?

A.5. Definition of Price Increases The requirement that “all proposed price increases must be supported by fully documented cost justifications” applies to any increase in the price charged to the University, regardless of cause. This includes, but is not limited to:

· Changes to proposed discount percentages; and/or

· Increases in manufacturer-published pricing (e.g., MSRP or standard price lists) that result in a higher net price to the University. All such increases must be submitted in writing and are subject to University review and approval prior to implementation.

· Any increase that results in a higher price to the University shall be considered a price increase and must be submitted for review and approval in accordance with Section 4.1

· Manufacturer pricing can change, but you cannot implement those increases during the first year without approval—even if your discount stays the same.

Monthly Price List Requirement If a monthly price list is required or utilized:

· The Contractor shall provide a complete, updated price list including price adjustments on the itemized bid list on an annual basis and for any monthly price adjustments.

· The submission should clearly identify any changes, including price increases, decreases, new items, and discontinued items

· The University reserves the right to review and approve all updates prior to implementation
