The proposed system must provide two-way communication for classrooms, offices, and common areas; support emergency notifications, calendar-based scheduling, and graphical user interface functionality; enable on-demand distribution of audio files; include uninterruptible power supply installation; and encompass integration, cabling, programming, commissioning, training, and documentation. Vendors may schedule onsite visits between April 1–30, 2026, by appointment, and the deadline for submitting questions is April 24, 2026. The district reserves the right to request additional information or conduct interviews with prospective vendors.

Proposals will be evaluated on a 50-point scale weighted across five criteria: Total Project Cost (20 points), Technical Specifications (15 points), Vendor Experience (5 points), Maintenance & Support (5 points), and Implementation Timeline (5 points). Vendors must provide one year of maintenance and technical support included in their pricing, with clearly itemized annual license fees and pricing for continued annual renewal support. A minimum one-year warranty covering parts and labor is required, along with proof of Workers' Compensation Insurance, Employer's Liability Insurance, and General Liability Insurance. Vendors must comply with Georgia's E-Verify requirements and submit a Contractor Affidavit. Installation work may extend beyond standard school hours (after 3:10 PM), and all proposal preparation costs are the bidder's responsibility. Brooks County Schools reserves the right to reject any or all proposals and may modify the project scope prior to contract execution.
