About this file

Amendment #1 to the University of Wisconsin-Madison's Request for Bid (RFB) 2025-UWMSN-00842-RFB pertains to Equipment Planning and Consulting Services for veterinary medicine, sports medicine, sports equipment, scientific laboratories, and potentially general equipment. The solicitation seeks professional consulting services to be submitted electronically through https://bids.sciquest.com/apps/Router/PublicEvent by April 11, 2025. The scope anticipates many contract requirements can be completed virtually and remotely, with on-site work potentially requiring travel expenses reimbursed by the University with prior approval and properly documented receipts.

The amendment provides clarification on bidding structure, allowing vendors to submit hourly rates for labor categories in Group P1, with additional labor classifications possible in Group P2 and as vendor attachments. Contractors are expected to submit actual billed hourly rates and can differentiate pricing for various roles such as Equipment Planners and Implementation & Transition/Activation Planners. Travel expenses are to be factored into proposals, with the understanding that many services can be performed remotely. The University will consider per diem expenses on a project-by-project basis, emphasizing flexibility in service delivery and cost management.

AMENDMENT #1

2025-UWMSN-00842-RFB

EQUIPMENT PLANNING AND CONSULTING SERVICES

Q1: Does the scope cover medical equipment planning and consulting?

A1: The scope of this contract shall cover Veterinary Medicine, Sports Medicine, Sports Equipment, Scientific Laboratories and may include general equipment.

Q2: It is noted that travel expenses are the Contractor's Responsibility. We typically include reimbursable expenses for parking, lodging, mileage, etc. Should those be factored into the Hourly rates rather than billed at actual on the proposals and invoices?

A2: Bidders should submit actual billed hourly rates for the indicated labor categories. Per diem expenses shall be paid with prior approval from the University (see section 4.13) on a project-by-project basis. It is anticipated that many of the contract requirements can be completed virtually and remotely, but where the contractor is required to on site, the University will pay actual incurred travel expenses with properly documented receipts.

Q3: Our firm typically differentiates pricing for our Equipment Planners and our Implementation & Transition/Activation Planners due to onsite and experience level. There are Senior Roles amongst those. What is the best way to differentiate the pricing for these different functions within the bidding structure? Ultimately, we will have different staff who equipment plan versus carry out the installation and activation services A3: Bidders should submit prices for the requested labor categories in section Group P1. Additional labor classifications can be submitted in Group P2, and additional labor categories can be submitted as a vendor attachment upon bid submittal.
