About this file
This document is a Request for Quote (RFQ) issued by the Illinois State Board of Education (ISBE) for a banquet event associated with the Annual Teacher of the Year Reception. The event is scheduled for May 17, 2025 and is expected to have between 700 to 1,050 attendees. The selected vendor will need to provide a conference space within a hotel or walking distance of a hotel in Central Illinois, with specific requirements for meeting rooms, banquet seating, registration area, stage and audio-visual capabilities, and catering services. The RFQ includes details on the physical layout, audiovisual equipment, catering, and lodging requirements. Vendors are required to submit an all-inclusive quote to provide the requested supplies and services. The award will be made to the responsive bidder with the lowest total price, and the quote must be valid for 160 days from the date of submission.
The pricing terms stipulate that ISBE is not subject to taxes, and all service charges, rental fees, and other expenses must be built into the cost of the respective items. Catering pricing must be provided both for the estimated 1,050 attendees as well as an additional per-plate rate for any attendees over that number. No other salient information, such as set asides, incumbents, funding requirements, or sources, is provided in the document.
