About this file

This document contains answers to prospective bidder questions for a Request for Proposals (RFP) issued by Sun Prairie Utilities in Wisconsin for a detailed facilities study. The study aims to establish space needs and budgeted estimates for the relocation and/or expansion of the utilities department. The RFP was issued on May 6, 2019, with questions accepted through June 3, 2019. The submittal deadline for proposals was June 13, 2019, at 4:30 PM CST. The study will assess current fleet vehicles and equipment inventory, warehouse facilities, office space, and fleet space requirements, with projections for growth and recommendations for housing and storage needs.

Proposals may be submitted as either hard copies or electronic PDFs, with the exception that cost proposals must be submitted in a separate sealed envelope. Sun Prairie Utilities will provide the awarded consultant with an updated Fleet/Equipment Asset Inventory List to serve as a starting point for the study, eliminating the need for the consultant to develop asset requirements from scratch. Additionally, overhead maps detailing office, fleet, and warehouse facilities are available upon request to interested bidders. The RFP does not establish set-asides, incumbent information, or specific pricing terms within this question-and-answer document.

• PROSPECTIVE BIDDER QUESTIONS and CLARIFICATION ANSWERS

1. In regards to submission of this proposal, are hard copies required for submission or only electronic (PDF) emailed directly to you?

A. Both hard copies or electronic emails are acceptable forms of submittal. The only caveat is that the Cost Proposal (Form F) must be submitted in a separate sealed envelope.

2. Does or will Sun Prairie Utilities have an updated asset inventory list of Fleet Vehicles/Equipment that the

Architect can use as a starting point or will the Inventory required under Task 10.f.i be entirely prepared by Architect from scratch?

A. Sun Prairie Utilities has an updated Fleet/Equipment Asset Inventory List that it will be supplying the awarded consultant for use in preparing the study. The consultant is not expected to create or recommend asset requirements, only the appropriate space to house them and estimate growth.

3. At the bottom of page 10, you mention “an overhead map is available upon request, which further details the spaces described above. May I have a pdf copy of this.

A. For anyone interested, please email and I will forward a copy of our current Office, Fleet and
