About this file
This is a Request for Quotation document from the State of Maine Central Warehouse for the procurement of calendars for 2014. The Central Warehouse is transitioning from a traditional single large lot purchase model to a Master Agreement structure that allows for multiple smaller orders placed throughout the end of 2013 and continuing through 2014. The procurement encompasses 23 different calendar SKUs with specified quantities ranging from 33 to 2,509 units per item, including standard calendars (X001 through X023) and personalized calendar diaries (X015A). Bidders must provide delivery timeframes in business days, which may be considered in the award decision. All vendor inquiries regarding this RFQ must be submitted through the official Question and Answer link on the Solicitation Details View page, with responses posted in the same location for vendor review.
The Master Agreement pricing must remain valid through the end of 2014, with the Central Warehouse having the flexibility to place orders at any time during this period with no minimum order quantities per transaction, except for the personalized calendar diaries (X015A) which historically have been ordered in volumes of 600 to 800 units annually with 5 to 10 different prints, and for which the Central Warehouse requests the ability to reorder with a minimum of 25 units per order. The Central Warehouse does not guarantee order volumes will match or differ from the historical quantities shown in the attachment table, as this represents a shift in their traditional procurement approach to allow year-round calendar ordering flexibility.

Text version
The process for the way State of Maine Central Warehouse purchases calendars is changing. Traditionally they have made one large lot purchase. The result of this bid will be a Master Agreement. This Master Agreement will be for pricing of individual calendars. The Central Warehouse won’t be placing one large order with this Master Agreement but a few smaller orders to spread it out over the end of year 2013 for 2014 calendars. The pricing for the calendars needs to be honored until the end of 2014 for 2014 calendars. This will allow Central warehouse to order 2014 calendars all year long at no minimum per order. The attachment table below shows the order for 2013 calendars.

Central Warehouse does not guarantee they will order more or less then these numbers, but traditionally the Central Warehouse has never offered calendars year-round.
X015A are calendar diaries that have personalized print on them. Historically the Central Warehouse ordered 600 to 800 diaries a year with 5 to 10 different prints on them. The Central Warehouse will still place one large order but wants the ability to re-order at a minimum 25 per order.
Please provide in your bid the delivery time in business days. This may be a factor in award.
