QUESTIONS FROM POTENTIAL OFFERERS
Amendment to Combined Synopsis/Solicitation
Authors Speaker Series – 2012-01
1. Should the firm fixed price include speaker and travel fees (if applicable)?
Answer: Your price proposal should be all inclusive to include travel and any other fees
2. Solicitation says that offerors will be evaluated on technical capabilities and price. However, the solicitation mentions only submitting a price quotation. Do you also want some type of formal proposal or capabilities statement submitted along with the quotation?
Answer: yes, we would like to have a formal proposal to include a capabilities statement, a description of the service you will provide, past performance and a list of authors and books that we can choose from to make up our schedule of events
3. You mention that ED has a VTC or video webcasting system; does that mean that we would or would not provide vendor services for video and/or webcasting services? If so, here are my more technical questions:
Answer: VTC/webcasting capability will be provided by ED; vendor does not need to provide this. This answer is applicable to all the sub questions below:
· Will the remote viewers be watching on ED platforms or does the vendor need stream content and also provide the platform?
· Does it need to be 508 compliant - e.g., captioned?
· Will vendor be responsible for A/V/Lighting for house? For webcast?
· Will there be PPTs, links, pre-recorded video, et al that needs to be incorporated?
· Is there a webcast registration/password required?
4. Do you want the actual names of the authors or just topics?
Answer: Yes, authors and topics that are available to choose from.
5. You indicate a range of 4-7 seminars. Do you want a fixed price per seminar? Or for the entire range as one price? The single price would be hard to do with travel, per diem, M&IE, and honoraria.
Answer: You may propose your pricing either by single seminar or as a package, however if you provide a package price you need to also indicate how many seminars this would include. The requirement is for a minimum of four seminars, and an option to increase that number, not to exceed seven--that option to be negotiated with the vendor by the CO, in the event additional seminars are required. This is a firm fixed price contract, inclusive of travel, per diem, M&IE, and honoraria. Contract award will be paid to the vendor--the expenses and coordination of the event(s) will be handled by the vendor.
