About this file

This is a Questions and Response document from Herriman City, Utah, addressing an RFP for an Enterprise Work Order Management System. The City anticipates a July 1, 2027 Go Live date and plans to replace its current Point of Business (POB) system by Serviceaide to increase functionality. The new system will manage approximately 150,000+ assets across linear and vertical categories, including city buildings, water and stormwater infrastructure, roads, streetlights, open space, trees, signs, and related infrastructure. The vertical asset portfolio comprises two buildings totaling approximately 64,500 square feet. The City will migrate approximately 12,350 existing work orders, with about 450 currently active, and anticipates managing roughly 15,000 work orders annually. All linear assets are identified on GIS maps, and the City maintains "As Built" drawings for its buildings to facilitate asset location identification.

The system will serve 80 total users with defined roles: 4 System Administrators, 6 Primary Named users with full Read/Write privileges, 5 Executive users focused on dashboards and KPIs, 60 field Technicians, and 5 Requestor/Limited Access users. Herriman City declined to disclose its project budget. The City will establish most existing workflows with some new additions and has PM procedures for most asset classes, though not all assets require preventive maintenance processes. Required system integrations include two-way integrations with GIS and Bluestakes, and one-way integrations with LAMA, SpryPoint, SCADA, and Madison AI. Currently, the City does not use an inventory management system and does not maintain a library of non-CAD documents such as specifications, warranties, or manuals. All due dates and times will be in Mountain Standard Time (MST).
