About this file
This is a delivery schedule memorandum from the Federal Bureau of Prisons Federal Correctional Complex Coleman, Florida, dated August 5, 2025, outlining mandatory delivery requirements for vendors who have won bids. The memo specifies four distinct delivery schedule options: Schedule #1 requires all items delivered in one shipment between October 1-15, 2025; Schedule #2 splits quantities into two equal deliveries (October 1-15 and November 1-15, 2025); Schedule #3 divides orders into three equal shipments (October 1-15, November 1-15, and December 2-16, 2025); and Schedule #4 requires 13 weekly deliveries every Monday-Tuesday from October 1 through December 31, 2025, between 7:30 AM and 12:00 PM.
All deliveries must occur between 7:30 AM and 2:30 PM, Monday through Friday, with no weekend or federal holiday deliveries (Columbus Day, Veterans Day, Thanksgiving, and Christmas are specifically noted). Critical requirements include palletized and wrapped deliveries, temperature controls (34-40°F for perishables, 0°F or below for frozen items), and a three-day conditional receipt period for inspection and testing. Non-compliance with delivery schedules or specifications will result in performance issues, potential rejection, or re-award to the next lowest bidder, with impacts on future award considerations. The Food Service Warehouse contact numbers are provided (352-689-3055/3052/3165/3051/3056), and vendors must mail or email invoices rather than faxing them. This memorandum relates to the FCC Coleman Q1 FY26 Paper Specs solicitation (15B30225Q00000042), indicating these delivery schedules apply to that procurement.
