About this file

This is a delivery schedule memorandum from the Federal Bureau of Prisons Federal Correctional Complex Coleman, Florida, dated August 5, 2025, outlining mandatory delivery requirements for vendors who have bid on the Q1 FY26 Halal Menu contract (Solicitation 15B30225Q00000040). The memo establishes four delivery schedule options: Schedule #1 requires all items in one shipment between October 1-15, 2025; Schedule #2 splits quantities into two equal shipments (October 1-15 and November 1-15, 2025); Schedule #3 divides quantities into three equal shipments (October 1-15, November 1-15, and December 2-16, 2025); and Schedule #4 requires 13 shipments delivered each Monday-Tuesday from October 1 through December 31, 2025, between 7:30 AM and 12:00 PM.

The memo specifies strict performance requirements including palletized and wrapped deliveries, temperature controls (34-40°F for perishables, 0°F or below for frozen items), and delivery hours of 7:30 AM to 2:30 PM Monday through Friday, excluding federal holidays (Columbus Day, Veterans Day, Thanksgiving, and Christmas). Non-compliance will result in performance issues notation, potential rejection or re-award to the next low bidder, and consideration in future award decisions. All deliveries are subject to a 3-day conditional receipt period for examination and testing, with rejected items requiring vendor pickup within two weeks at their expense. The Food Service Warehouse can be contacted at 352-689-3055/3052/3165/3051/3056 for questions, and invoices must be mailed or emailed rather than faxed.
