About this file
This is a Request for Quotations (RFQ) issued by the U.S. Embassy in Hanoi, Vietnam, seeking a vendor to provide a comprehensive reception package for the American Independence Day Celebration on July 11th, 2025 (with backup dates of July 9th or 10th). The event requires a venue capable of hosting 1,000 guests, including specialized spaces for VIP guests, U.S. Marines, and performers, with specific technical and logistical requirements such as audio-visual equipment, three projector sets, sound systems, decorations, and security infrastructure.
The solicitation requires a detailed quote in Vietnamese Dong covering venue rental, catering for 800-1,000 guests with canape-style service and free-flowing beverages, side room rentals, equipment provisions (including projectors, sound systems, and decorative elements like an ice sculpture), and comprehensive security arrangements. Vendors must be registered in the System for Award Management (SAM) and submit proposals by March 28, 2025, at 5:00 PM local time. The embassy emphasizes flexibility in event date and scope, with payment to be processed via Electronic Fund Transfer within 30 days of complete service delivery and invoice receipt.
