About this file

This is an Amendment of Solicitation document (Standard Form 30) issued by the American Embassy in Guatemala City for RFQ Number 19GT5026Q0075 concerning Computer Room AC Units maintenance services at the Post Maintenance Service Center (PMSC).

The amendment extends the quotation due date from August 7, 2026 to September 9, 2026 at 10:00 AM local time and incorporates three Questions and Answers clarifications. Quotations must be submitted to GuatemalaBids@state.gov; submissions by any other means will not be considered. Key clarifications from the Q&A include: filter replacements will be provided by the US Embassy with contractors quoting labor only; humidifier canisters are not consumables but shall be checked quarterly as part of preventive maintenance; and the Data Aire GForce equipment uses chilled water rather than refrigerant, eliminating the need for refrigerant inventory, though awarded contractors must perform quarterly inventory of spare parts and consumables and submit reports to the Contracting Officer's Representative to prevent equipment downtime. The amendment is effective August 28, 2026 and was issued by the GSO Procurement Section at the Embassy.

Questions and Answers

Q1. Is filter replacement included in the contract, or does it only cover inspection and labor?

R1. Yes, the filter replacement will be provided by the US Embassy. You must quote labor only.

Q2. Should humidifier canisters be considered consumables included in the contract, or as an additional spare part?

R2. The canisters should not be considered as consumable. The humidifier canister shall be checked quarterly, as part of the preventive maintenance service.

Q3. What type and quantity of refrigerant does each unit use, and is the contractor expected to maintain an on-site inventory?

R3. The Data Aire GForce equipment uses chilled water; they do not require any refrigerant to operate. Hence, there is no need for the awarded contractor to keep stock of refrigerant.

However, the awarded contractor should perform quarterly inventory of spare parts/consumables which must be sent to the COR to prevent downtimes.
