About this file

This is an Amendment #1 to Request for Bid (RFB) #19-0045 issued by the University of Wisconsin-Madison Purchasing Services for the purchase of a fast, low-temperature, cryogen-free screening system. The amendment was issued to address questions submitted by bidders regarding technical specifications and clarifications outlined in the original bid document. Key specifications addressed include mating requirements for Fischer connectors (to mate with Fischer part #FP24XL-P), probe length dimensions (43 inches measured from the base of the KF50 probe flange to the bottom of the probe with a minimum of six inches free space required below that point), and total system height limitations (cryostat and probe combined should not exceed 110 inches during unloading). Bid prices and terms are firm for sixty (60) days from the date of bid opening. Award(s) will be made as soon as possible after bid evaluation, with the bid abstract remaining confidential until after award determination has been made.

Bidders must certify compliance with various conditions including non-collusion statements, conflict of interest disclosures, debarment status, and accuracy of submitted information under penalty of perjury. No specific pricing information, set-asides, incumbent contractor details, or funding amounts are detailed in this amendment document. Bidders must acknowledge that the original UW-Madison Purchasing Services bid document on file serves as the controlling document for any resulting contract. Questions regarding the bid should be directed to Jeff Whitman at UW Purchasing, 21 N Park Street, Suite 6101, Madison, WI 53715, or via email at jeff.whitman@wisc.edu or telephone at 608-262-6120.

QUESTIONS AND ANSWERS TO RFB #19-0045

Q1. The bid specifies six (4) 24-pin Fischer connectors. Do you have a specific Fischer part number for these connectors? If so, please provide it so I may request a price from Fischer.

A1. The Fischer part to be installed by the vendor need to mate with our existing Fischer part #FP24XL-P.

Q2. Line item #5f specifies 43” long. Which part is supposed to be 43” long? Does this dimension refer to the overall height of the cryostat? Or does this dimension refer to the length of the sample probe?

A2. 43 inches refers to the distance between the base of the KF50 probe flange to the bottom of the probe where we will mount our own brackets. We require a minimum of six inches free space below that point inside the sample space.

Q3. What is the height of the ceiling in the room in which this system will be installed? Is there a specific limitation on the total height of the cryostat and sample probe?

A3. Cryostat + probe during unloading should not exceed 110 inches.

Q4. Line item #3c specifies “condensation-free sample unload: <2 hours to 300K”. Do you want a load-lock with a gate valve that will contain the sample probe in a humidity-free chamber during sample change? Or do you want to evacuate the sample chamber, warm the sample probe to 300K, and remove the sample probe from the sample chamber in less than 2 hours?

A4. The latter: evacuate the sample chamber; warm to 300 K; remove the sample probe; all in less than 2 hours.
