Vendor Question & Answers:
Question 1: The RFP does not mention the printed materials needed especially the 3000 pages of printing or the place cards. Will this not be needed?
Answer 1: Each member of the working group receives a hard copy of the meeting notes and presentations. It can be 100 pages and 30 participants, so approximately 3000 printed pages. Each member also gets a printed name plate (just a folded piece of paper) to identify them.

Question 2: The vendor shall coordinate travel arrangements for approximately 25 authorized travelers, including airline flights, hotels, and ground transportation. This number conflicts with the Q&A released in Amendment 1 (released August
6th) which states 30 participants, can the
Government please clarify?
Answer 2: Approximately 25 authorized travelers/participants is correct.
Question 3: The vendor must participate in the fall organizational meetings and prepare the meeting agenda based on the outcome of those meetings. How many Fall Organizational Meetings are there, where is the location of these meetings, and what are the dates? Can the vendor attend these meetings virtually or are they required to be on-site?
Answer 3: The fall organizational meeting is a virtual phone call/zoom/teams meeting. The date hasn't been set yet. Likely in September or
October. Likely just 1 meeting, possibly two.
Question 4: The contractor must be able to communicate with or be able to make interpretive arrangements as necessary for cross-cultural work with people who mainly speak Northwest Alaska dialects of Iñupiaq, Yupik and Koyukon
Athabascan. Is this also required for the Fall
Organizational Meetings identified in p.5 as well?
Answer 4: No interpreter is needed for the fall organizational meeting.
Questions will not be accepted after August 16, 2024.
