About this file
This document contains a set of questions and clarifications related to a federal contract opportunity for Generator Preventative Maintenance Services at Everglades National Park. The key details are:
The contractor will be responsible for all material requiring replacement during inspection and maintenance, including items such as head gaskets, blower gaskets, seals, and battery electrolyte. It clarifies that part replacements would be expected to be quoted and performed after the maintenance inspection, not during. The document also provides details on the specific generator models and locations, as well as confirms that all generators have Diesel Engine Particulate Filters (DPF) installed. Additionally, it addresses the frequency and duration of load bank testing, as well as the recommended coolant change schedule based on usage. The document is intended to provide clarification on the scope of work and contractual requirements for the Generator Preventative Maintenance Services contract opportunity.

Questions / Clarifications – EVER Generator Preventative Maintenance Services – 140P5424Q0044
Clarifications:
The Contractor, under this scope of work will be responsible for all material, which requires replacement during inspection and maintenance but which is not specifically called out, including but not limited to items such as head gaskets, blower gaskets, seals, and battery electrolyte as outlined in this SOW.
• Every generator will require different head gaskets, blower gaskets, other gaskets, seals, and miscellaneous parts. Does the above necessitate that we keep this inventory on our trucks, or will these replacements be parts quotes following the inspection? Parts for “repairs” are not expected to be available on site if found during routine maintenances and inspections if found faulty or damaged.
• • Check all V and fan belts make sure there are no hair line cracks on the belts, replace if cracked or worn.
• Similar to the above, every generator will require different belts (and potentially differing quantities of belts). I would like to confirm that these parts replacements would be expected to be quoted and performed after the maintenance inspection, not during.
Replacements and or repairs would be expected to be quoted and approved prior to performing repair after the maintenance inspection.
• Make necessary repairs as needed to maintain generators fully operational.
• I want to confirm that this only pertains to minor, on-site repairs or adjustments. This should not apply to part replacement services, since the technician is unlikely to have on hand the broad amount of parts that might or might not be necessary to perform parts replacement services for repair. This only pertains to minor, on-site repairs or adjustments
• Take fuel oil samples and analyze.
• I would like to confirm that this request is for a service that includes sending a sample of oil to a lab, testing it for contaminants, and then sending the report to Everglades National Park at a later date once the testing service is complete. Taking fuel samples and oil samples can be on site visual inspections. Example: Checking for water in fuel can be pouring diesel in a cup after removing fuel filter to see if water is present. Oil: can also be checked for milky color indicating a gasket leak etc. Lab samples are not required unless quoted and discussed between contractor and COR.
1. SEMI ANNUAL CHECK ( ENGINE RUNNING ) Load Banking Unit for 1 hour semiannually Note:
manufacture recommendation for this test is once a year for a duration of 2 hours not twice a year this ad extra cost that provides no value to the customer. Load Bank testing shall be performed as stated in SOW submitted in bid.
2. ANNUAL CHECK ( ENGINE NOT RUNNIN ) change coolant every 250 hours or once a year whichever is sooner. Note: If the unit is not used as prime power the coolant is extended life and should only be changed every 3rd year or 250 hours of used. This is something that should be added to OUT OF YEAR CHECKS. Park service will accept changing coolant every 250hrs or 3 years if the unit is not used as prime power.
3. OUT YEAR CHECKS: Battery replacement, type of battery and quantity of battery stated in (SOW). This was a project oversight, Replace batteries every two years of manufacturing date or on an as needed basis using factory recommendation for types and quantities. Estimates will be required prior to replacement for approval.
