About this file

This document is an amendment (Amendment 0004) to Solicitation 140G0125Q0007 for a Robotic System for the Analysis of Sediment Samples, issued by the USGS OAG Reston Acquisition Branch. The amendment extends the quote submission deadline from 02/17/2025 at 0800 AM ES to 04/01/2025 at 0800 AM ED and provides detailed clarifications to potential vendors regarding technical requirements.

Key clarifications include specifications for data collection and logging (data to be collected and stored on a PC, with a .csv log file), system connectivity requirements (supporting Wi-Fi, USB, serial, and Ethernet), and operational details about the robotic system. The system will handle sample trays with crucibles, move samples between barcode readers and analytical balances, and integrate with the government's existing SLEDS database through a file import utility. The solicitation remains a small business set-aside under NAICS code 541511, with an anticipated contract award date of 12/20/2024.

a. QUESTIONS: Section 3.2 - Robot Control

- The SOW mentions the ability to receive data from measurement devices (e.g., barcode value, weight, and humidity/temperature values).

o Should the robot arm connect directly to the peripheral devices (barcode scanner, scale, and sensor) and store/log this information to a .csv file?

o Alternatively, can the PC (framework) collect and store/log data from these devices?

ANSWER: The data received from the measurement devices should be collected and stored (log data) on the PC used to control the system components

(including the robotic arm).

- Regarding the ability to store data with a timestamp into a .csv file:

o Is this intended as a database or a log file?

ANSWER: The .csv file is intended to be a log file that can be uploaded into our laboratory database. Not all parameters will need to be transferred into our database. The weights of the dishes/crucibles are the most critical part.

b. QUESTIONS: Section 3.2 - Scale Control

- The system is required to open/close the enclosure.

o Should this be achieved by the robot arm, or is a motorized mechanism required?

ANSWER: This requirement should be controlled by a factory installed motorized mechanism attached to the balance. We can look at the options for the government purchasing a new balance for the system. Alternatively, we could decide to leave the enclosure open depending on the balance stability within the robotic system enclosure.

- The balance must be zeroed out (tared).

o Should the balance be zeroed before placing the crucible, or after the crucible is placed and the shield is closed?

ANSWER: The balance should be zeroed out

(tared) before the crucible in placed into the weighing position.

c. QUESTIONS: Section 3.4 - Database and Reports o Is there an existing SQL database that the vendor can connect to, or would a .csv file be sufficient or would the vendor provide one?

ANSWER: A .csv file will be sufficient.

- The software must integrate with USGS's existing system.

o Does this mean sending data via an API, or simply providing access to a .csv file and/or database?

ANSWER: This means simply providing a .csv file that the government can upload into our existing database.

- Can you clarify the expectations for the carousel and sampler setup?

ANSWER: Samples would be laid out on a rectangular tray with slots for each crucible

(containing a fraction of the sample). These trays would be able to fit in our drying ovens and into the housing for the robotic arm/analytical balance. Once the program is started, the robotic arm would go to the first position, move the crucible to the barcode reader, move to the balance, then move back to the same position. The robotic arm would then advance to the next position and so forth.

Multiple trays would fit into the enclosure in designated spots (coordinates), so once the sequence is completed for the first tray, the program could instruct the robotic arm to move to the next trays position.

d. QUESTION: Section 3.8 - Technical Data

- The SOW references laboratory drying ovens and desiccating storage cabinets.

140G0125Q0007/0004 o Can you confirm that these components will not be housed within the enclosure?

ANSWER: Confirmed. The drying ovens and desiccating storage cabinets will not be housed within the enclosure.

e. QUESTION: Section 3.3.1 - Connectivity

- The system must support Wi-Fi, USB, serial, and

Ethernet connectivity.

o Since the PC is government-owned, should the vendor add additional Ethernet ports, external

USB dockers and/or external Wifi adapters?

o Or is this a requirement that each device must have?

ANSWER: This requirement means the components of the system must be able to connect to the government-owned PC by way of ethernet, USB, serial, or Wifi. The analytical balance has a usb connection. Most temperature/humidity loggers will have a way to connect to a PC as well.

f. QUESTION: Regarding the Analytical Balance with Glass Enclosure.

- The Government supplied scale is the Sartorius

Secura 225D-1S Semi Micro Balance which comes with a Manual operated glass enclosure.

o Is the vendor required to provide an automated glass enclosure to go over the scale that already has a glass enclosure?

ANSWER: No. The government will either purchase a new scale with an automatic glass enclosure, or leave the enclosure open since it will be in a housing used for the complete system anyways.

g. QUESTION: With respect to backend software data services hosting, do you currently have the servers and perhaps database to host them in-house?

o If not, could an AWS Cloud monthly subscription be secured for the purpose and host them there.

140G0125Q0007/0004 o However if you do, could you provide the general platform details such as the model name, model year, programming language(s) supported, Memory size, CPU Cores, HD size etc.

h. QUESTION: Regarding the robotic device I/O communication, which programming language platform(s) does the robotic device currently support?

ANSWER to Questions g and h:

The robotic system exchanges data with SLEDS via a "File Import" utility in SLEDS itself. The robot produces text files in a defined format.

CVO has a file share drive where the output from the robot is stored. The files produced by the robot are retrieved from the shared drive and the data are loaded into SLEDS by the analyst. If you want to set up a demo of the File Import interface let me know. It would be convenient if your new robot could produce the same output file type as the CVO robot does, then you could use the same data capture utility. If you're looking to create a system that uses some other interface with SLEDS let me know.

SLEDS servers and databases are hosted at CVO.

If we move them to the cloud, we'll do it for all of SLEDS at the same time.

3. All other terms and conditions remain the same.
