Frequently Asked Questions – UPS Batteries

Q. How far is the job site from the shipping location?

A. The job site and shipping location are the same. The actual work spot (UPS) is about 600 feet from the loading dock.

Q. Confirm the contractor responsible for the disposal of the old batteries?

A. Yes. Page 5 of the RFQ states the following: REQUIREMENTS: The OST is requesting Brand name or Equal Batteries, GNB Sprinter flame retardant UPS 12-300MR, 12VDC battery, with manufacturer warranty, including professional installation, removal and proper disposal/recycling of UPS Batteries.

Q. Is there a loading dock on site?

A. Yes

Q. How far is the UPS from the loading dock?

A. 600 feet (approximately)

Q. If the UPS is not on the first floor, what floor is it on and is there an elevator for use?

A. UPS is on the 1st floor.

Q. Can the batteries be stored on the loading dock a day or two before install?

A. The batteries shall be stored in the room where the UPS is located; approximately 600 feet from the loading dock. As per the RFQ, Installation shall be completed upon delivery of the Batteries;

however, after delivery, the Government is willing to allow a day or two for installation.

Q. Is there a pallet jack available for use on site?

A. Yes, there is a pallet jack available for use.

Q. Will your team be moving the batteries from the loading dock to the UPS?

A. The vendor shall handle all aspects of the installation, including movement of the batteries from the dock to the UPS location – approximately 600 feet

Q. Does the flooring need any protectant (floor covering) if yes how many feet?

A. No floor covering is required.

Q. Is there a freight elevator if not on ground floor? Approximate weight capacity?

A. Freight elevator use is not required, as this will be completed on the first floor only.

Q. Any narrow doorways that would not permit standard pallet (40”x 40”) or any other obstructions (carpet, etc.) from the loading dock or shipping drop to the UPS location?

A. While it may be tight getting around one corner and there is some extremely thin carpet in places in the hallway, there are no narrow doorways or any other obstructions that would prevent a 40" x 40" standard pallet from being safely and carefully moved from the loading dock (where the shipping vendor will deliver the UPS) to the set up location, all of which are on the first floor.

Q. Performed during normal business hours or off hours?

A. RFQ Page 3, Amendment 2 – Installation of Batteries, states: To prevent operational disruptions, work shall be performed after normal business hours. Contractor work shall be performed from 7:00 PM to 5:00 AM. The contractor shall provide the best installation time. Installation during normal business hours (6:30AM to 4:30PM) can be arranged through proper coordination between Government and contractor.

Q. I notice the delivery needs to be inside the first doorway. Am I to assume that there is no loading dock and the delivery requires a lift gate as well as an inside delivery?

A. A loading dock exists at the delivery address. The loading dock and the installation room are located on the first floor. Government IT POC will be available to allow contractor inside for unloading. The delivery contractor will need to call the IT POC in advance to announce delivery.

Q. Is there a maintenance bypass system to isolate the UPS?

A. Yes, there is a main disconnect switch on the UPS.

Q. If yes will there be a maintenance supervisor present to put it in bypass?

A. Facility personnel are on site, if needed.

Q. Do workers need personal clearance?

A. Contractors will be escorted by OST Office of Information Resources Information Technology personnel who have clearances.

Q. Can you please provide the UPS unit info? As in brand, model, kva size and serial if possible, this will affect install price.

Q. Does the site have a BMS/Battery Monitoring System that connects to each individual battery to disconnect/reconnect?

A. We don’t believe there is a BMS/Battery system, but are unsure.

Q. How many battery strings are connected to each UPS?

A. With there being three (3) battery cabinets, we believe there are three (3) strings attached to each UPS unit. Please see photos in Attachment 3, UPS Pics.

Q. Are the batteries in attached cabinets or open racks?

A. The batteries are in three (3) cabinets.

Q. Can you provide any pictures of the UPS equipment and batteries, loading dock/facility entrance, and routing to battery room?

A. Please see photos in Attachment 3, UPS Pics. There are no available photos of the batteries.

Q. Is there a picture of the battery to verify battery and terminals?

A. There are no available photos of the batteries or terminals.
