Statement of Work FACE Orientation SY24-25

Albuquerque, NM: August 20-22, 2024

Project Overview

Objective: Provide logistics, assets, and location for FACE Program Orientation training.

Contract and procure a suitable venue for orientation training in Albuquerque, NM. Other support for these activities will include but not be limited to graphics, media, agenda, branding, conference communications, logistics, management, snacks, coffee, and water. Meet with BIE FACE leadership and Data team for planning needs and conference debriefing.

Goal:

The goal is to provide new sites and staff with a clear overview of the FACE Program and specific training for each component for a successful site/component implementation.

Event Theme:

FACE Orientation- New program onboarding, new FACE staff; FACE program overview and breakdown training by each component within the program.

Scope of Work:

The venue requires the following:

• Location: Albuquerque, NM (or vicinity)

• Availability: August 20-22, 2024

• Capacity (approximately 100-160 participants):

o Block of 15 rooms for overnight stay (open to stay 3 or 4 nights) o 4 Breakout rooms to accommodate 25-40 participants in each room

• Equipment:

o Audiovisual:

• Wi-Fi access

• Presentation screen: 1 per breakout room

• Projectors: 1 per breakout room

• 1 PowerPoint Projector clickers per room

• Surge protectors for each room

• Charging station for phones/laptops at tables

• Extension cords

• IT Technician onsite for the entire event

• Required cables to connect laptop to a/v

• Breakout room equipment to accommodate the projected number of participants as listed above:

• Classroom-style tables for participants

• Chairs for participants

• Tables and chairs for the registration area

• Table(s) for water, coffee, snacks

• Branding:

o Brand all PowerPoints o Brand forward-facing assets o Certificates of attendance

• Setup:

o Meeting space prep o Ongoing meeting support o Meeting space takedown
