1. Is the intent to re-host and upgrade the existing Infinite Campus NASIS (based on SOW C.1.3 Concept of Operations) or to replace the existing Infinite Campus NASIS with a new cloud-based COTS solution as eluded to in C.2.2.1?

A: It is the intention of the Bureau of Indian Education (BIE) to replace the existing Infinite Campus Native American Student Information System (NASIS). The replacement can be either a Cloud based COTS solution or a Managed Hosting based COTS solution that is hosted in the BIE Albuquerque Data Center (ADC).

2. How are discipline referrals made now? Who are they made by and to?

A: Discipline referrals are completed at the school level and submitted by school personnel such as teachers, counselors, principals, dorm staff, etc. Ideally the school would discuss and define the referral process and agree upon consistent reasons for referrals and consequences applied prior to submissions in NASIS.

3. Food Services - what system is being used currently? Is it integrated with the existing

NASIS?

A: The Food Services module is not part of the enterprise wide modules in use by all BIE

Schools. It has been selected as an add-on by some schools and other schools have used other solutions. There is currently no enterprise wide Food Services system.

4. Do you use a Learning Management System (LMS) now?

A: NASIS is a Student Information System. There is no enterprise wide Learning Management System in use by the BIE.

5. Provide current list of types of users at BIE central office and at state/school level

(teachers, counselors, nurses, etc.)

A: There are several types of NASIS users:

State Level: Read/view only and run ad hoc reports. Other levels of access can be provided if necessary.

o Mainly State Level staff, Central Office and Division of Performance and Accountability, ADDs

District Level: Ability to read/view and access to write to NASIS can be provided with tool rights as necessary o Mainly Education Resource Center (ERC) staff and Division of Performance and Accountability

School Level: Ability to read and write to NASIS and enter student data.

o System Administrators utilize the basic knowledge necessary such as access (both technical and process), security, and yearly maintenance of system. This would include basic set- up of system.

o Registrar/Census or other personnel responsible for establishing basic student enrollment, entering demographics and completing year-to-year rollover tasks.

o Teachers (Grade Book) focused on use of the grade book to include integration of assignments based upon BIE’s requirements, class attendance, behavior referrals and school instructional requirements.

o Residential staff focused on tracking residential attendance and behavior.

Department of the Interior o Special Education staff utilize forms and other data as necessary to meet supplemental programs requirements including IEP creation and technical processes, all related special education forms to meet BIE and federal reporting requirements.

o Staff who work with class scheduling and the process of creating a master schedule which includes courses and sections, room assignments, course requests, and other scheduling related tasks.

Parent Portal: Ability to read/view student information and limited communication with teachers o Parents or Guardians Student Portal: Ability to read/review their own classroom information, assignments, etc.

o Students

6. How many users of NASIS now?

A: There are approximately 51,000 users of NASIS today. This number includes both staff (5,000) and students (46,000). This number does not include parents.

7. How many systems is NASIS integrated with currently across the country? How does

NASIS interact with all of the state school systems since Section 3.0 only lists 5 state systems?

A: There is no current system integration with states at this time. Information for reporting is transferred manually to the state systems. The states listed are as an example of state systems with which the BIE desires a technical, systematic based interface to states.

8. Please provide a full list of systems and integrations currently being used.

A: The system does not have any current system interfaces at this time.

9. Can you provide an ERD?

A: NASIS is based on the Infinite Campus product and as such the ERD is considered to be the proprietary property of Infinite Campus.

10. For item R-011 from the RDD_Crosswalk spreadsheet, please explain in detail what the

“Automated call slips and messages” requirement is referencing.

A: Capability to send voice calls via text to speech or recording, text messaging and email. Messaging supports attachments and links in real-time with previews available.

11. For items R-215 – R-22, these appear to be custom report requirements. Can you please provide details on what fields and information would need to be included in these reports? Please provide a copy of the reports if possible.

A: Many schools support and are implementing programs that encourage college and career readiness. R-215 through R-228 are examples of general reports that support these efforts. Through the solicitation a solution is requested to support general student work experiences beyond the regular classroom that support college and career readiness.

May utilize the student demographic fields (student names, NASIS ID, Gender, etc.) with fields such as Occupation, Workplaces or Worksites, Career Focus, Work assignment timeframes, dates at site.
