END OF DISCUSSION NOTES
PAGE 6 OF 8 1333ND22QNB100131A001
2. The following questions and responses are hereby provided.
QUESTION #1: What’s the earliest a breakfast/lunch would take place? What’s the earliest we can arrive before service starts?
RESPONSE #1: Timelines will vary amongst events.
The Contractor will be advised of the timelines in advance of events.
Note that the space the Contractor will be required to access will be locked.
-In some cases, caterers have been permitted to set-up the night before an early event.
-Or, as an example, for an event that would begin at 8:30 in the morning, the caterer would be required to be set up by 7:45. The caterer would be given access to the at least site one hour before the set-up time.
QUESTION #2: What does LO mean under the unit column on the Schedule?
RESPONSE #2: Lot.
When pricing the sub line items in the schedule, quoters must refer to the
Statement of Work, Specific Requirements. The prices quoted must reflect these requirements.
Quoters may provide assumptions or further clarification in their quotation.
For example, when pricing “Continental Breakfast”, the statement of work requires that a
Continental Breakfast includes “assorted baked goods, jams and fruit.” Quotations can identify any baked good, jam or fruit that is or is not included in the quoted price.
QUESTION #3: Are we expected to have an attendant onsite at all times keeping food and beverages filled and organized or setting up and leaving and coming back to clean up and set up for the next service?
RESPONSE #3: In some cases, yes and in other cases, no.
The Contractor will be advised of event requirements during the post award ordering process before the event price is confirmed by the Contractor. Reference the “post award ordering process” section in the statement of work.”
QUESTION #4: Based on $16 for breakfast and $17 for lunch, are we assuming a $33 max daily budget per person? For instance, if we are delivering boxed lunches and a PM coffee break, is the max $17 for all food and beverages for those two services?
RESPONSE #4: No, the Government does not anticipate a $33 max daily budget per person. The amounts for per diem are specific to breakfast, lunch and dinner only. These amounts do not take coffee or snacks into account.
QUESTION #5: Are you looking for a company within a certain distance to the NIST in Boulder?
RESPONSE #5: The solicitation does not identify a geographical restriction.
QUESTION #6: If subcontractors are utilized, do subcontractors need to possess an “active” registration at
SAM.Gov?
RESPONSE #6: All payment to subcontractors is through the Prime Contractor. For the purpose of this solicitation, sub-contractors do not have to possess an active SAM.Gov registration, however, subcontractors must self-certify their business size in accordance with the
NAICS code and size standard in the solicitation.
PAGE 7 OF 8 1333ND22QNB100131A001
QUESTION #7: Clarification on Price Scenarios. For the purpose of responding to the Price
Scenarios in the solicitation, please note the following information:
RESPONSE #7: (i) Both scenarios require an 8AM “service time.” What’s the earliest the Contractor can arrive before service starts?
The Contractor can be on site at 6:00 AM.
(ii) Are quoters expected to have an attendant onsite at all times keeping food and beverages filled and organized or setting up and leaving and coming back to clean up and set up for the next service?
Setting up leaving and coming back is the requirement.
