QUESTIONS & ANSWERS DATE: 02/01/2024
SOLICITATION NO. 12639524Q0055
1. The document states that approval for parts being replaced or installed have to be approved by the COR. Do the cost of repair parts need to be included in our submission or are they paid upon receipt of approval and replacement?
Pricing for repair parts do not need to be included with submission. Pricing for any repairs will be requested when the need is identified and will be approved at that time as mentioned in section 2.8. Please also read through section 3.2 which goes over how repair requests will be administered.
2. Will HVAC technicians be required to support/maintain any addition sites outside of 13601 Old Cutler Road, Coral Gables, FL. 33158?
Please see section 2.5 for the list of equipment and buildings at the location that is covered under this solicitation.
3. Is there a current incumbent contractor and if so, how many contracted HVAC qualified employees support and maintain the Coral Gables facility?
There is an incumbent, but we cannot tell you how that incumbent operated. The previous contract is slightly different than this one with additional buildings.
4. Is there a requirement for a contracted HVAC lead or is there an existing manager and/or job site superintendent?
The statement of work does not call out for a HVAC lead specifically, but we do expect to have a main point of contact for HVAC needs (routine maintenance, emergency, and non-emergency repairs). It is up to the contractor to provide us your description of the distribution of work for this contract. See Submission Requirements for Technical Capabilities and read section 2.4 if the statement of work.
The statement of work says, “Services performed under this contract will require coordination of work with the facility manager.” So, we do have USDA personnel on site.
5. Will an extension be granted beyond the 5 February 2024 cutoff date or the 19 February 2024 contract start date?
At this time there will be no extension to the solicitation due date. As for contract start date, these are general estimated dates based on when we think we can issue the contract. The contract period of performance dates can be adjusted, but the total period of performance will remain the same with one base year and 4 option years.
6. Who is the incumbent? What is the contract number? What is the total value of the contract?
Contract No. 12639519C0015 Contractor: TEMPTROL AIR CONDITIONING INC Contract Value (5 years): 174,455.72
