Timberline Waterline Emergency Replacement Pre‐Solicita on Mee ng Notes and Ques ons

Barlow Room comments:
Timberline is an Historic Structure with a Historic Building Preserva on Plan. The work to be completed is mostly in areas of low significance, so impacts of the plan should be minimal.
Timberline Lodge is operated by RLK Inc. and will be in full opera on during the performance period of the contract. Work that will limit or interrupt water services will need to be coordinated through the
Forest Service Contrac ng Officer’s Representa on/Contrac ng Officer and RLK representa ves to minimize the impacts. This includes limi ng dura on of water shut down preferably to 3‐4 hours, and/or comple ng work in the late evening and early morning hours. With appropriate no ce and pre‐planning, other op ons may be possible.
Pro‐press type fi ngs can be part of the proposal, but the installa on of these should be limited and only in open, readily observable/accessible loca ons. Ideally longer sec ons of piping can be pre‐ assembled with solder joints, and e ins could be completed with pre‐press type fi ngs.
Mathew Hackett, COR, said that during the original contract, the contractor was able to get 20’ lengths into the West a c, but only 10’ in the east. We toured these areas so the contractors could make their own assessment of these possibili es.
Site Stops:
We showed them the boiler room and the lay out of the waterlines within. Most lines go to the east out of the boiler room and up the east stairwell, but one line does take off to the north and goes through the dry storage room. Another line goes into the Carpenter shop and then connects to PEX lines in the
Steam Tunnel.
We went to the carpenter shop and showed them the line and the steam tunnel entry. We let them know that the steam lines in the tunnel will be removed by Ar s, the Boilers contractor, so if access is required into the steam tunnels, this will have to coordinate with the steam line removal by Ar s. (This should be done before the performance period starts, but could overlap a bit, if Ar s gets behind schedule.) The Boilers contract is slated to be complete in November. It was commented that the exis ng
Copper and PEX lines were to remain, only Aquatherm needs to be replaced.
Piping in the east stairwell was shown.
We opened the dry storage room and showed them the pipe in this area. It appears to be cold water supply to the Price Wing. We went to the East a c and showed them where the lines come up from the stairwell and run through the North side of the a c. Two lines also crosses to the south side of the a c to serve the rooms on that side.
The entry to the headhouse a c was shown, with the lines going from the east end to the west.
We toured the west a c and pointed out the lines from the headhouse and lines serving the west end.
We entered the elevator room and showed them the access to the steam tunnel and possible route for ge ng lines to the a c.
Iden fied exis ng sec on of Aquatherm pipe that is not ed into the exis ng system but is in the path of the new pipe loca ons. A ached are pictures of either end (Women’s Headhouse Bathroom and closet behind the elevator) and a drawing of the path that was taken by the pipe. A er research, it appears like the west end can be opened up to create access to this space, without any demoli on of the exis ng Women’s Headhouse Restroom.
We let them all know that we had scanned the redline drawings from the last contract and that these would be included in the amendment covering this site visit.
Ques ons Asked:
Will the lodge be ac ve?
o Yes – weekly coordina on with RLK and the Forest Service required.
o The work to be completed is mostly in areas of low significance, so impacts of the contractors work plan should be minimal.
Will the pool repair be ongoing?
o Yes, along with the Boilers.
Are you familiar with pro press/will pro press be allowed.
o Subs tu ons are usually addressed a er award, in this case Pro Press is acceptable in open readily observable areas.
Does the new work replace the exis ng path?
o In most spaces, there is space to run new line alongside the exis ng, but the path will change as required.
What is the start date/dura on?
o Start date as soon as possible (ideally around August) o Dura on is 180 days.
What lengths of pipe are acceptable?
o 20 and 10 are acceptable but 20 may be too long – 20 could be feasible in the east stairwell, but not the east a c. Longer lengths may be transported across the head house a c from the west a c to the east.
NOTE: All steam pipes will be removed by the end of the boiler replacement project. Some delay of the start of the project may occur when coordina on discussions occur between the
Government, exis ng contractor, and awarded contractor. This discussion will determine the earliest possible start date to accommodate this.
What material is allowed?
o Copper is required.
Are there any guidelines for interrup ons to the project by the concessionaire?
o Case by case –coordina on between all par es will occur at the beginning of the contract and during the weekly coordina on mee ngs.
o Need to minimize impact on the lodge.
Cut over work or other work shu ng down a por on of the water system will likely be done in the middle of night, or off hours depending on dura on.
There may be some impact to the kitchen shu ng it down for this work.
