About this file

This document is a Questions and Answers file for a USDA Agricultural Research Service solicitation (12305B25Q0028) for two autoclaves. Key details include technical clarifications about equipment specifications, such as door type (manual vs. automatic), door seal activation, power requirements, and delivery/installation logistics. The solicitation is structured as a Lowest Priced Technically Acceptable (LPTA) procurement, with quotes due on 6/11/2025 at 2:00 PM PST. Vendors must submit a firm fixed price quotation on company letterhead, include documentation demonstrating technical capability, provide place of manufacture, and submit their Sam.gov Unique Entity ID. The contract requires FOB destination delivery with installation included, and quotes must remain valid for at least 60 days. Interested parties were required to submit any questions by 6/4/2024, with quotes to be emailed to Elizabeth Wilson at Elizabeth.Wilson2@usda.gov.

Yes

2. Our door seal is activated by compressed air in lieu of steam, which offers a much longer gasket life and is often preferred by customers. Please confirm an air activated door seal would be acceptable.

No

3. Can “house air” (90 PSI minimum) be made available at the autoclave location?

No

4. Is there a truck-level loading dock on site or will a lift-gate delivery be required?

No

5. Please confirm the “USDA Eastern Regional Research Center” can receive and unload the autoclave, upon delivery. Or should receiving/unloading be included, as part of the vendor’s scope of work?

Yes

6. Can a forklift (at the receiving area) be made available, to assist in the uncrating process?

Yes

7. Will the autoclave be installed on the ground floor? If not, is an elevator available for transport to its final location?

Yes

8. If an elevator is required for transport, can you confirm its internal cab dimensions and weight limit?

N/A

9. Are there any obstacles in the pathway to the autoclave’s final location, including hallways less than 5 feet in width? Any other obstacles, such as stairs, ledges, tight turns, etc.?

No

10. What is the smallest doorway size in the pathway to the autoclave’s final location?

72 in wide x 83 in height

11. Can a dimensioned drawing (and site photos) of the autoclave room be made available? This information would be critical to have, prior to bidding, to ensure a proper fit and verify there is adequate space for service access.

N/A

12. Can the USDA staff dissemble and discard old equipment?

We will not disassemble/discard the old equipment, that’s on the vendor.

13. Is 3-phase power such as 208v or 480v power available?

We can probably accommodate 3-phase power.
