About this file

This document is an Addendum to a Request for Proposal (RFP) issued by a school district for a contract to provide salvage services for their technology equipment over a 1-3 year period. The RFP is not for a specific lot of equipment, but rather to establish a contract for regular pickups of various types and quantities of equipment from the district's 21 locations, consisting primarily of desktop computers, laptops, printers, and projectors. The district is looking for a vendor who can handle all of their salvage needs, including items with only recycling value. Interested bidders must hold a current R2 certification covering downstream recycling, data erasure, physical destruction, and materials recovery processes, and meet FERPA, HIPAA, and NIST 800-88 guidelines. The winning bidder will be required to provide a certificate of data destruction and recycling within 45-90 days of each pickup.

The district does not anticipate large, consolidated equipment replacements, but rather regular, smaller pickups of a variety of equipment throughout the year. Bidders must be able to handle the logistics of these dispersed pickups across the district's locations. There are no specific pricing terms or funding sources mentioned, but the district is seeking a vendor who can provide value even for equipment with only recycling materials value.

Addendum #01

All bidders should understand this RFP isn’t for a certain lot of equipment. This RFP is to contract with a company for all of our salvage over a 1 – 3 year period. We do have quite a bit of equipment we need picked up at the moment. However, a big log of equipment normally only happens about once per year. We normally schedule 3-4 pickups each school year to be picked up from all of our 21 locations across the district. Unless we are doing a project of some sort to replace a lot of a certain type of equipment, the pickups consist of various quantities of various equipment. Most equipment is individual pieces. Only one location has the means to load have the equipment on pallets.

We are a 1:1 3rd – 12th grade.

The following is a list of models of equipment we have in place right now. This list is not all inclusive. Pickups may consist of items older than anything on this list or newer. This is just a representation of what we have.

We are looking for a vendor who is interested in everything we have to send even if it only has recycle materials value.

Interested bidders are reminded they must hold a current verifiable R2 certification to include Downstream Recycling Chain, Logical Data Erasure, Physical Destruction, Test & Repair and Materials Recovery Certified Processes and meet any requirements of FERPA, HIPPA and NIST 800-88 guidelines. The R2 certification must be for the same company name that will purchase and take custody of the equipment. Proof of employment with the purchasing company will be required at each pickup. The winning bidder will be required to submit a certificate of Data Destruction & Recycling within 45-90 days from the time of each pickup. If you do not hold an R2 certification including the Certified Processes that can be verified, please do not submit a bid.
