About this file
This is a Statement of Work (SOW) template from NIH/OD/OLAO/Office of Acquisitions for maintaining two SPTlabtech Mosquito robots located in the Structural Biology Core. The SOW outlines requirements for a service contract to maintain these critical pieces of equipment that are used for crystallization experiments.
The contract requirements include 4-hour response time to inquiries, onsite repairs within 2 working days, annual preventative maintenance visits, unlimited email/phone and remote support, software updates, replacement parts, and labor charges. The period of performance spans from 2025-2028, with the base year starting January 1, 2025 for system PB1720 and September 25, 2025 for system PB4190, followed by three option years. The contractor must perform annual preventative maintenance including calibration, cleaning and software maintenance, while providing parts and labor to repair broken systems within specified timeframes. No special security requirements or government-furnished property are needed, though service engineers must meet standard NIEHS visitor requirements.

1.0 INTRODUCTION/OVERVIEW
This project is to provide a service contract for the two SPTlabtech Mosquito robots that reside in the Structural Biology Core and are a resource for all employee’s performing crystallization trials.
1.1 BACKGROUND
The Mosquito robots in the Structural Biology Core are used by all scientist at the institute that are performing crystallization experiments. These are the single most important pieces of equipment in the core. They allow for high throughput crystallization experiments using nanoliter size drops increasing the number of conditions we can screen using the smallest amount of precious sample. Maintaining this equipment in a functional well calibrated state is critical to the success of all NIEHS scientists performing crystallization trials.
1.2 SCOPE
We expect under this contract for the equipment to be serviced in a timely manner and in a well calibrated state that allows us to perform our experiments for the coming year(years when including option years).
1.3 OBJECTIVES
The objective of this contract is to maintain the equipment in an operational mode so that experiments can be performed at anytime 24hrs/7 days a week by NIEHS scientist who are performing crystallization trials.
2.0 REQUIREMENTS
The service contract should provide for:
1) 4 working hour response time to inquiries
2) Onsite repairs within 2 working days
3) 1 annual preventative maintenance visit
4) Unlimited email/phone assistance and remote support
5) Software updates
6) Replacement parts
7) Labor and call out charges
2.1 TASKS
The task to be performed each year will be a annual on-site preventative maintenance which will include calibration, cleaning and updating of software. In addition, task such as service visits and remote assistance will be provided on an as needed bases to troubleshoot and fix problems arising with instrument failure.
1) Annual preventative maintenance including calibration and cleaning
2) On-site repair
2.2 DELIVERABLES
Contractor must perform annual preventative maintenance including calibration, cleaning and software maintenance on at least a yearly basis. Contractor must also provide parts, labor and assistance to return broken system into working order within the stated amounts of time.
Acceptable criteria should include the equipment being calibrated and working such that it can meet the stated metrics of its capacities.
2.3 SCHEDULE
The period of performance for the first year are:
For system number PB1720 1/1/2025 – 12/31/2025
For system number PB4190 9/25/2025-12/31/2025
Second option year:
Both systems 1/1/2026-12/31/2026
Third option year:
Both systems 1/1/2027-12/31/2027
Fourth option year:
1/1/2028-12/31/2028
Previous years’ service will be evaluated between each request to purchase the following years option year on this contract
2.4 ASSUMPTIONS
Assumptions are that the contractor will be capable of supplying the parts and expertise in a timely manner to perform maintenance and repairs of the Mosquito robotic systems.
3.0 GOVERNMENT FURNISHED PROPERTY
There will be no government property required by the contractor required to perform the service on this instrument.
4.0 SECURITY REQUIREMENTS
There are no special security requirements for this contract. Service engineers will be required to meet the same requirements of any visitor to NIEHS.
