About this file

This is a Request for Information (RFI) issued by the West Ada School District in Idaho, the state's largest school district serving approximately 40,000 students across 58 schools. The RFI seeks vendor information regarding the development and implementation of an integrated district operations dashboard platform designed to consolidate fragmented data across multiple operational areas including Facilities, Maintenance, Custodial, Grounds, Human Resources, Transportation, Finance, and Communications. The platform must provide centralized, real-time visibility into key operational metrics such as support ticket volume and resolution timelines, employee retention and staffing levels, on-time transportation services, facilities and grounds maintenance status, and financial reporting and budget tracking. The dashboard must integrate data from multiple sources including Jira, HRIS, financial systems, and transportation routing software, while supporting role-based access and configurable modules. The deadline for vendor questions is December 10, 2025, at 1:00 PM MDT, and the RFI closing date is December 19, 2025, at 1:00 PM MDT. All submissions must be made electronically through the Bonfire e-procurement system at westada.bonfirehub.com in searchable PDF format.

Vendors must provide company background information, years in business, K-12 or public sector experience, references from three to five public agencies or school districts currently using their solution, and detailed documentation addressing product capabilities, data integration and technical requirements, reporting and analytics functionality, implementation and support services, security and compliance features, cost information, and future enhancement capabilities. The RFI requires vendors to specify whether their solution is off-the-shelf, semi-customizable, or fully custom-built, and to describe pricing models, one-time implementation or data-integration fees, optional add-on modules, contract length options, and any cooperative purchasing contracts held. No specific budget or contract award information is provided in this RFI, as this is an information-gathering phase to identify potential vendors rather than a formal solicitation for bids or proposals.

SECTION 1

Overview

1.1. Introduction

The West Ada School District seeks information from qualified vendors regarding the development and implementation of an integrated dashboard platform to support and enhance district-wide operations.

The objective is to provide leadership, staff, and stakeholders with a comprehensive, intuitive, and adaptable tool that consolidates data across multiple operational areas, including but not limited to enabling better decision-making, improved transparency, and efficient service delivery.

1.2. Background

West Ada is Idaho’s largest school district, serving approximately 40,000 students across 58 schools.

Our operations encompass a wide range of services, including Facilities, Maintenance, Custodial, Grounds, Human Resources, Transportation, Finance, and Communications. Currently, data and reporting are fragmented across multiple systems. The district requires a solution that consolidates this information into a single, user-friendly platform, allowing for real-time monitoring and streamlined reporting.

1.3. Objectives

The District seeks a platform that:

• Provides a centralized, intuitive dashboard accessible by district leadership and operational teams.

• Integrates data from multiple sources (e.g., Jira for support tickets, HRIS, financial systems, transportation routing software, etc.).

• Offers real-time visibility into key operational metrics, including:

• Support ticket volume and resolution timelines.

• Employee retention and staffing levels.

• On-time transportation services.

• Facilities and grounds maintenance status.

• Financial reporting and budget tracking.

• Adapts to evolving operational needs with configurable modules and workflows.

• Includes secure role-based access, ensuring that different user groups can view appropriate information.
