TECHNICAL EXERCISE

The Offeror shall perform a live Technical Exercise that demonstrates how the Offeror’s solution would intake and process an action in the format of the below DHS Form 1501 from initiation through administration and closeout. All fields of the DHS Form 1501 (1-39) shall be addressed. The Technical Exercise demonstration must be live. It shall not be pre-recorded and simply played back during the oral presentation/technical demonstration.

The Technical Exercise demonstration shall include:

• Showing how users access the system

• Create a request (Note: the DHS Form 1501 is the current request and an example is provided below)

• How the request is routed through the system o Requestor initiates o Supervisor Approval/Local Approval o Funding Official Approval o Approving Official Approval o Cardholder makes the purchase o Receiver Receives the purchase o Close out the request, attaching files

• Demonstrate how a punch out/catalog system works o Create a Favorite list

• Demonstrate how the system logs/tracks actions for request (Example: Request was created on, request was approved on); tracking the routing of the request

• Demonstrate how to print the request and the attachments associate with the request

• Demonstrate how a partial receipt is captured on the request

• Demonstrate the search function

• Perform a report function:

o Pending Requests

The contractor shall also discuss during the Technical Exercise how the solution is capable of:

• Integrating the DHS1501 Form (see below)

• Integrating with the agency’s bank hierarchy structure

• Establishing Rules:

o Separation of Duties o Reminder notification for recurring expenses o Requiring supporting documentation/attachments o Reminders to close out requests o Email notifications o Any other unique features

• Retention and how to access the requests when they are archived/closed

• Matching capability when reconciling bank charges

• Audit alerts for administrators

• Financial tracking and how it works
