Bidders must meet SBE participation requirements for all Charge Reimbursable Work or demonstrate good faith efforts.

Services must comply with NFPA 96 and IKECA requirements. Contractors must provide proof of Texas Department of Licensing and Regulation licenses, NFPA certifications, and IKECA Certified Exhaust Cleaning Specialist (CECS) certifications. Scope covers canopy hoods, exhaust fans, filter banks, ductwork, ventilation units, and related mechanical and electrical controls. All work runs through the OCTAVE ATTUNE EAM work order system, with daily operations and maintenance documented in real time. The contractor must provide 24/7 on-call service for minor repairs and replacement parts, with response within 30 minutes for life-safety events and 60 minutes for non-emergency calls. Unless otherwise authorized, the contractor may clean only three locations per day and must submit a monthly cleaning schedule by the 25th of each month. Scheduled services run on weekly through annual frequencies.

The contract term is five years with no renewal options specified. The contractor bears all labor, materials, equipment, transportation, badging, background checks, training, vehicles, and parking, with these costs included in base pricing. Reimbursable work beyond the specified scope requires prior written approval from the DFW Airport Board ETAM Representative and is limited to 15 percent total markup for labor, parts, and materials. A "No Show Fee" of $250 for the first missed cleaning, $500 for the second, and $1,000 for each subsequent occurrence applies, though weather-related cancellations are excused. No guaranteed funding or minimum reimbursable volume is stated, and the DFW Airport Board reserves the right to modify, reduce, or terminate services based on cost comparisons or identification of lower-cost alternatives.
