About this opportunity

Palm Beach County Board of County Commissioners, Purchasing Department, is issuing a Request for Quotation (RFQ) for Toyota OEM Parts and Repair Services under a term contract. The procurement seeks qualified vendors to provide repair services and original equipment manufacturer parts for Toyota automobiles, light/medium trucks, and SUVs with a gross vehicle weight rating under 19,500 pounds. The RFQ is divided into two geographic lots: Lot #1 encompasses all Palm Beach County locations excluding the Glades Area, while Lot #2 covers the Glades Area west of the 20-mile bend. Quotations must be submitted by April 16, 2020, at 4:00 p.m. via fax or email to the Purchasing Department. Successful vendors must maintain a repair facility within Palm Beach County, begin work within one business day of notification, and complete repairs within three business days of starting work. Pricing shall be based on a firm, fixed hourly rate for repair services and a single fixed percentage discount or markup from current Toyota OEM catalog/price list or manufacturer's suggested retail price (MSRP). Vendors must provide separate quotes for each lot, and awards will be made based on the lowest responsive, responsible quoter on a lot-by-lot total factored rate basis.

All quoters must provide evidence of commercial general liability insurance with a minimum of $500,000 coverage, business auto liability insurance with a minimum of $500,000 coverage, and workers' compensation coverage. Additionally, vendors must supply a minimum of three professional references demonstrating similar services performed within the past three years. Small, minority, and women-owned business (S/M/WBE) enterprises certified by Palm Beach County at the time of quote submission may receive preference if their bids are within 10 percent of the lowest bid. The anticipated contract term is twelve months with an estimated expenditure of $9,000, with an option to renew for four additional twelve-month periods upon mutual written agreement. The successful vendor shall supply all shop supplies, provide OEM replacement parts, and include pickup and delivery of vehicles at no additional cost, with vehicle pickup required within four hours of notification during normal business hours. All pricing must be all-inclusive, covering supervision, labor, materials, equipment, tools, transportation, towing, and all other services necessary for complete performance, with no overtime permitted.
