About this opportunity

Texas A&M University's Athletics Department is requesting proposals for special effects services for home football games and athletics events at Kyle Field under RFP TAMU-26-5017, with proposals due September 17, 2026 at 2:00 p.m. CST. This is a single-award procurement.

Services include CO2 Cryo Jet effects, fog machines, pyrotechnics, confetti, and fireworks displays. Minimum equipment requirements per home game are six CO2 Cryo Jet Heads with hoses and tanks, two high-output fog machines, and pyro flame effects from at minimum two on-field boxes with custom A&M branding. The vendor must deploy two on-site technicians licensed for pyrotechnics and flame effects with a minimum of two years of relevant experience. All special effects must be tested a minimum of one hour prior to venue gates opening. The vendor must also provide pricing for postgame pyrotechnic musical firework shows in 3-minute, 5-minute, 8-minute, and 10-minute durations. Pricing must be inclusive of pre-event delivery, permits, fluid/gas tanks, and technician travel.

The vendor must carry a minimum of $10 million in liability insurance and demonstrate a minimum of ten years of experience providing special effects for NCAA Division I FBS/FCS programs, with three references from comparable higher-education clients preferred. Any single engagement valued at $100,000 or more triggers completion and approval of a State of Texas Subcontracting Plan promoting opportunities for veteran-owned businesses.

The contract term is five years with annual review and negotiation of terms, conditions, and pricing. Evaluation uses a 100-point scale: experience/skillset (20 points), pricing (30 points), insurance requirements (10 points), technical proposal and ability to meet minimum requirements (30 points), and references (10 points). Questions are due September 4, 2026 at 5:00 p.m. CST, with responses posted by September 7. Award and formal agreement execution are anticipated in September 2026.
