About this opportunity

The Maine State Archives is soliciting bids for shelving to support a records center expansion, with proposals due February 4, 2008. In-state bidders and those offering Maine-manufactured products receive preference on tied bids under state procurement rules.

The scope covers shelving units to occupy approximately 2,400 square feet of floor space with an 11-foot ceiling. Each unit must feature ten shelves capable of supporting 300 pounds per shelf, measure 42 inches wide by 32 feet deep, and accommodate six boxes per shelf for a total unit load capacity of 3,000 pounds. Shelving must be constructed of 18-gauge or lower steel with powder-coated or baked enamel finish and include appropriate bracing for safety and stability when fully loaded. Installation is required and must be included in the bid price.

Award will be made to the lowest responsible bidder based on best value considerations, including quality, conformity with specifications, delivery dates, and ultimate cost to the state. All transportation charges and freight must be prepaid by the contractor unless otherwise specified. Quotes must exclude Maine state and federal sales and use taxes and include separate unit prices with all trade or quantity discounts embedded in the quoted price. Cash discounts of 20 days or more will factor into lowest-bid calculations; shorter discounts will not.

Prospective bidders are encouraged to schedule facility visits by appointment to assess available space and propose efficient shelving configurations. Contact Michael Lawrence, Records Center Supervisor, at 207-287-5792 or Michael.Lawrence@maine.gov. Questions due date is not specified. Bids must be submitted using prescribed state forms and electronic methods to the Division of Purchases prior to the February 4 closing time.
