About this opportunity
Calhoun City Schools is requesting proposals for installation of a school crisis alert system across four schools and the board of education office, with proposals due September 17, 2021. The scope includes wearable alert badges for employees, real-time location tracking with contact-tracing capability, visual notification beacons with campus-wide and outdoor coverage, and an administrator console with reporting and firmware management. The system must serve approximately 400 employees across five facilities: the Board of Education Office (30 employees), Calhoun Early Learning Academy (60 employees), Calhoun Primary/Elementary Schools (140 employees), Calhoun Middle School (70 employees), and Calhoun High School (100 employees).
Proposers must submit a lump-sum cost proposal with itemized breakdowns for hardware, software, installation, training, and annual maintenance at each facility. Proposers are required to demonstrate current or obtainable liability insurance of at least $1 million combined single limit and workers' compensation at statutory limits with $1 million employer's liability, naming Calhoun City Schools as an additional insured. Proposals must include references for similar projects completed within the past five years, detailed system specifications, integration capabilities with existing infrastructure, mobile app documentation, and hardware and cabling specifications.
Submissions require two physical copies and one digital copy, addressed to Dr. Peter Coombe, Assistant Superintendent, 334 S. Wall Street, Calhoun, GA 30701. Pre-proposal meetings are available upon request; technical questions must be submitted in writing via email. Award notification is expected within 15 days of the proposal deadline and requires Board of Education approval. The RFP reserves the right to reject any or all proposals and is not obligated to accept the lowest bid.
