About this opportunity
Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 23 line items of inventory parts for transit operations and maintenance under RFQ 5470, with quotes due October 22, 2026 at 11:00 a.m. — a same-day deadline. All bids must be submitted through the e-Procurement Portal at https://procurement.opengov.com/portal/go-metro; submissions in other formats will be considered non-responsive.
The scope comprises vehicle components and maintenance supplies including fuel pumps, stators, diodes, gaskets, hinges, valves, first aid kits, windshield wipers, gauges, clamps, u-joint kits, torque rods, and slack adjusters, with quantities ranging from one to twenty units per line item. Bidders must quote OEM parts or specify non-OEM alternatives with the relevant part number in the designated format (RM#######). All pricing must include freight and delivery to SORTA's Cincinnati, Ohio location. Lead time in calendar days to fulfill the entire delivered quantity must be noted in the bid table's notes column for each line item; stock quotes require a lead-time notation for fair evaluation. Any core fees must also be documented in the notes field.
Award will be made to the responsible bidder submitting the lowest responsive price. SORTA will evaluate bidder responsibility based on character, integrity, reputation, experience, past performance, financial resources, technical capability, compliance with licensing and tax laws, and ability to meet delivery schedules. Quotes remain valid for 30 days from submission. SORTA reserves the right to accept or reject any or all bids in whole or in part. Late bids will not be considered unless circumstances beyond the bidder's control prevented timely submission.

RFQ Bid Form Instructions
BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE
PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID
• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.
• Items of Importance:
- All quotes must have the freight included in the price.
- Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
- "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
- If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
- Enter any Core fee in the NOTES field located in the pricing table
- If you do not carry a part, please select "no bid."
