About this opportunity
The State of Ohio, specifically serving Hamilton County and Cleveland City, has issued Request for Quote (RFQ) 5255 for inventory parts procurement. This competitive bidding opportunity requires suppliers to submit quotes exclusively through the state's E-procurement portal, with strict formatting and submission guidelines. Suppliers must provide comprehensive pricing information, including mandatory freight costs and precise lead times documented in days for each requested part. The RFQ emphasizes complete transparency in quoting, requiring suppliers to indicate alternative part numbers using the (RM#######) format when original equipment manufacturer (OEM) parts are unavailable. Key deliverables include accurate inventory part quotes with clear specifications, lead times, and any applicable core fees. The solicitation has a simultaneous posting and due date of November 25, 2025, with an expectation that all potential vendors meticulously follow the prescribed e-procurement portal submission process. Bids not conforming to these detailed instructions will be considered non-responsive and summarily rejected.
While no specific set-aside designations or disadvantaged enterprise requirements are explicitly stated in the documentation, the RFQ appears to be open to multiple vendor types capable of meeting the strict technical and procedural requirements. The procurement does not indicate information about incumbent vendors or existing technological infrastructure that might require integration. The document provides no explicit indication of potential award values or specific budget ranges for the inventory parts procurement. Vendors must demonstrate the ability to provide accurate part specifications, competitive pricing, reasonable lead times, and full compliance with the state's e-procurement submission protocols. Potential bidders are encouraged to contact the designated buyer directly with any questions or technical issues related to bid submission, underscoring the importance of clear communication throughout the procurement process.

RFQ Bid Form Instructions
BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE
PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID
• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.
• Items of Importance:
- All quotes must have the freight included in the price.
- Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
- "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
- If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
- Enter any Core fee in the NOTES field located in the pricing table
- If you do not carry a part, please select "no bid."
