About this opportunity

The Boston Centers for Youth and Families (BCYF), a department of the City of Boston, is soliciting proposals for installation, operation, and maintenance of food and beverage vending machines across 20 BCYF community centers and pools, with proposals due October 13, 2026 at 12:00 PM EST and a pre-proposal Q&A conference call on September 30, 2026 from 1:00 PM to 2:00 PM EST via Google Meet. This is a revenue-sharing contract in which the City provides no direct compensation; the awarded vendor retains the right to operate machines on City property in exchange for remitting a percentage of gross sales to the City.

The scope encompasses 20 food vending machines and 20 to 40 beverage machines (one to two per location) meeting specified technical requirements: dimensions 72–76 inches by 28–41 inches by 30–34 inches, transparent fronts displaying up to 40 products, and payment acceptance via cash, coins, credit/debit cards, and mobile wallets. All food and beverage products must comply with the City's healthy food and beverage standards, including strict nutritional limits (200 calories or less per food item; defined sodium and fat restrictions; no sodas or energy drinks) and beverage classification ratios (80% green, maximum 20% yellow, zero percent red beverages). The vendor bears all installation, maintenance, repair, restocking, and cash collection costs. Defective machines require replacement within 10 business days; repair services must be provided within 5 business days of notification. The vendor must maintain monthly detailed inventory and sales records by location and product, obtain written BCYF Operations authorization before product changes, and keep machines free of food or beverage company branding.

The contract term runs from December 1, 2026 through November 30, 2027, with two one-year renewal options available for a maximum three-year term. The vendor must comply with City of Boston standards including CORI policies, debarment certification, Massachusetts business licensing, prevailing wage laws where applicable, and carry appropriate insurance coverage. Award is anticipated by October 30, 2026.
