About this opportunity

Northwestern State University's Purchasing Office is requesting quotations for hay cutting and baling services on approximately 8.5 acres of pasture at the Natchitoches, Louisiana campus, with quotations due July 28, 2026 at 2:00 p.m. Central Daylight Time.

The contractor must perform a minimum of two cuttings per year, including cutting, raking, baling, and removal of hay from designated areas. The contractor provides all labor, equipment, fuel, and materials and must coordinate scheduling and site access with NSU Facilities & Plant Operations, avoid damage to utilities, fencing, and drainage structures, and allow NSU staff to verify and document bale counts. The contractor specifies bale size and type (round or square) and submits a per-bale payment amount to NSU for the contractor's retained portion under a revenue-sharing model: the contractor retains 75 percent of hay production per cutting and NSU retains 25 percent.

The initial contract term runs July 1, 2026 through June 30, 2027, with two optional 12-month renewal periods, not to exceed 36 months total. All pricing must be quoted complete and firm, FOB Natchitoches with freight prepaid and excluding Federal Excise Tax. Award goes to the lowest responsible bidding vendor. The contractor must maintain Commercial General Liability insurance at $1 million combined single limit, Automobile Liability at $1 million combined single limit, and Workers' Compensation as required by Louisiana law, with the State of Louisiana named as an additional insured. The contractor must provide a Certificate of Insurance before work begins and execute an indemnification agreement. Failure to cut fields within 15 days of notice may result in contract termination.
