About this opportunity

Suffolk County Community College is seeking a qualified contractor to provide quarterly maintenance and service for a Buxton Model 2 Cage/Rack and Bottle Washer used in the Veterinary Science Department's Animal Care Facility. The procurement is an informal bid (Bid No. BI25-002) for comprehensive maintenance services to be performed four times annually in November, February, May, and August, with maintenance completed within the first 21 days of each specified month. Key deliverables include preventative maintenance inspections, potential repair services, and comprehensive maintenance reporting. The contractor must provide technicians qualified to perform specified maintenance, submit detailed service reports, and respond to service calls within 24 hours for non-emergency issues and 4 hours for emergency situations. Evaluation criteria appear to include technician qualifications, service responsiveness, and ability to use original manufacturer parts. The bid is due on September 11, 2025, at 11:30 AM, with submission options including email, mail, or drop box. Contractors must provide three professional references demonstrating relevant experience.

The contract does not specify specific set-aside designations or restrictions for disadvantaged enterprises. The contract term is three years, with an annual expenditure not to exceed $20,000. Pricing will be structured as a quarterly maintenance fee with additional billable hourly rates for repairs, and materials will be invoiced at the contractor's certified cost plus 10%. The contract includes comprehensive insurance requirements, mandating Commercial General Liability insurance of at least $2 million and Workers' Compensation coverage. Payment terms are NET 45, with potential early payment discounts. The contractor will be considered an independent contractor, not an employee of the college or Suffolk County. The standard model agreement includes provisions for monthly invoicing, termination conditions, non-discrimination policies, and indemnification clauses, providing a structured framework for service procurement.
