About this opportunity
The City of Philadelphia is soliciting quotes for polo shirts for the Mayor's Office under a micro purchase contract with a due date of September 9, 2026 at 10:30 a.m. through PHLContracts.
The total contract value does not exceed $45,000, adjusted annually by the Consumer Price Index for All Urban Consumers (CPI-U) from January 1, 2020 and rounded to the nearest thousand dollars. The contract term is 365 days from the effective date upon issuance of a Purchase Order. Delivery is FOB Destination Point, with all products required to be delivered and approved by the City before payment.
Quotes must be submitted electronically through PHLContracts only; faxed or mailed submissions are not accepted. Vendors must complete all required tabs including the General Tab (for Local Business Entity certification status), the Items Tab (for pricing), the Questions Tab (for mandatory responses), and the Subcontractors Tab if applicable. Prior to submission, vendors must pay the Annual Bid Security Fee, Bid Processing Fee, and any applicable Performance Security Fees through the City's online payment center or in-person at the Procurement Department. All required attachments — Consent and Authorization form, Annual Bid Security Application, pricing sheets, MBE/WBE solicitation documentation, payment receipts, Certificate of Insurance, and Bid Bonds where applicable — must be submitted. Original bid bonds and certificates of insurance must be mailed or hand-delivered to the Procurement Department.
Evaluation is by lowest, responsive, responsible seller. Award will be made within 60 days of submission. An LGBTQ Applicant Data Form is available for voluntary submission to support the City's diversity data collection. Vendors must maintain workers' compensation insurance at statutory limits, general liability insurance with a minimum limit of $500,000 per occurrence, and automobile liability insurance with a minimum limit of $300,000 per occurrence, naming the City as an additional insured. All quoted prices must be net and exclusive of taxes.
