About this opportunity
The University of Louisiana at Lafayette is soliciting bids for up to thirty Packaged Terminal Air Conditioner through-the-wall cooling units under ITB 50011-ULLAF27009, with questions due November 11, 2026 and bids due November 19, 2026 at 2:00 PM CST. No set-aside or preference program applies.
The reference model is First Co. ECO-Series Cool-Pak ECE18205A00A000F "or equivalent." Mandatory requirements include 18,000 BTUH nominal cooling capacity, 208/240V single-phase electrical compatibility, 4.5 kW electric heat at 240V, and dimensional fit with existing 44-inch height by 21-5/8-inch width standard wall sleeves. Bidders must submit manufacturer specifications and documentation verifying compliance, and insufficient illustrative materials may result in rejection. The standard manufacturer warranty must be disclosed on the bid form, typically one year full coverage plus extended sealed-system and compressor coverage.
Bid prices must be net, firm, and F.O.B. UL Lafayette Destination, inclusive of all delivery charges, fees, and surcharges. The university is exempt from Louisiana state and local sales and use taxes, but vendors must include all applicable taxes in their bids. Payment terms are Net 60 after receipt of a properly executed invoice or delivery and acceptance, whichever is later. The contract runs from award notification until the university accepts final delivery, with a maximum initial period of twelve months. Quantities are approximate and subject to increase or reduction, and the university may award items separately, in combination, or as a total package to one or multiple vendors. Required insurance includes Workers' Compensation, Commercial General Liability of $1,000,000 per occurrence minimum, and Automobile Liability of $1,000,000 combined single limit if applicable, with certificates due within ten days of award request.
Questions on specifications go to BidQuestions@louisiana.edu by 5:00 PM on November 11, 2026, and site visits or further information may be requested through the same address. Bids are submitted electronically to ULLafayetteBids@louisiana.edu, with public opening at 3:00 PM CST on November 19 via Zoom. No pre-bid meeting is scheduled.
