About this opportunity
The State of Alabama Office of the Chief Procurement Officer is soliciting quick quotes for LPGB - Copy Maintenance through Alabama Buys, with quotes due November 9, 2026. Suppliers must complete mandatory registration and submit responses electronically. The attached Standard Terms and Conditions for Quick Quotes govern the opportunity.
The contract term may be renewed annually by written agreement of both parties, up to a total contract cost of $25,000 or five years from the effective date, whichever is less. Pricing is subject to cost realism and price reasonableness review at the sole discretion of the Chief Procurement Officer. Price escalation is permitted only for cost increases that occur through no fault of the supplier and are supported by manufacturer or raw materials documentation. Escalation may not exceed increases in industry-specific price indices or CPI and is capped at 5 percent of annual contract cost.
Suppliers must submit inquiries through the online Supplier Portal, acknowledge the solicitation and all amendments, and certify compliance with all terms and conditions and the absence of collusion among bidders. Required compliance items include registration with the Alabama Secretary of State for foreign corporations, E-Verify enrollment verification for suppliers employing workers in Alabama, Alabama sales and use tax collection certification, and a Disclosure Statement for contracts exceeding $25,000. The contract is governed by Alabama law with exclusive venue in Montgomery, Alabama, and incorporates Division 4 of the Department of Finance Administrative Code (Chapters 355-4-1 through 355-4-6, effective October 1, 2022). The State is exempt from sales tax, retains the right to inspect and test all products before acceptance, and requires acceptance of multiple electronic payment forms, including state credit cards and EFT, at no additional cost. The State disclaims indemnification, retains sovereign immunity, and may cancel for convenience with as much notice as practicable.
