About this opportunity

Gainesville Regional Utilities (GRU) is requesting bids for the supply, delivery, and unloading of liquefied petroleum gas to seven designated subdivisions within its service area under ITB 2027-012, with responses due November 13, 2026 at 2:00 p.m. The scope requires approximately 30,000 to 50,000 gallons of LP gas annually across multiple 1,000-gallon storage tanks at GRU sites in Alachua County and Graceville, Florida.

Contractors must maintain a minimum tank inventory of 15,000 gallons throughout the contract term and adjust delivery frequency seasonally: twice weekly during winter (September 1 through March 31) maintaining 40% minimum capacity, and at least biweekly during summer (April 1 through August 31) maintaining 30% minimum capacity. Contractors are responsible for all labor, equipment, materials, and emergency repairs; must restore fuel to any site within two hours of notification upon outage; and bear all costs associated with service interruptions.

Pricing is calculated as a charge per gallon above the price published in BPN's Weekly Propane Newsletter and must include all transportation costs to Gainesville. Pricing remains firm throughout the contract period and is subject to renegotiation prior to any extensions using the BPN index formula. The contract term runs February 1, 2027 through January 31, 2030, with options for two additional one-year renewals and a potential six-month extension.

Contractors must provide proof of General Liability insurance ($1 million combined single limit), Automobile Liability insurance ($500,000 combined single limit), and Workers Compensation insurance (statutory), with GRU named as additional insured. Responses must include a completed Respondent Certification Form, Drug-Free Workplace Certification Form, and Anti-Human Trafficking Affidavit, submitted electronically via GRU's e-Procurement Portal. Questions are due November 4, 2026 at 4:00 p.m. Award will be made to the lowest responsive, responsible bidder. The intended award date is November 30, 2026.
