About this opportunity

The City of Austin is requesting proposals for large industrial motor maintenance, repair, overhaul, rewinding, and replacement services for Austin Energy and Austin Water under RFP 1100 MMH3047, with proposals due September 17, 2026.

The scope covers motors up to 4160 volts at multiple Austin Energy facilities (Decker Creek Power Station, Sand Hill Energy Center, district cooling plants, and Mueller Energy Center) and Austin Water locations (lift stations, pump stations, water and wastewater treatment plants). Contractors must provide lump sum quotes for four sample Austin Energy work scopes (Decker Forced Draft Fan Motor, Decker Cooling Water Pump Motor, Sand Hill Circulating Water Pump Motor, and Sand Hill Boiler Feed Pump Motor) covering all labor, materials, equipment, transportation, and delivery. For Austin Water services, contractors must offer fixed service-call pricing and labor rates for on-site diagnostic, inspection, and evaluation work, with written estimates due within five business days of inspection. The City reserves the right to award multiple or partial contracts and to add or revise services by written amendment.

All repair work must comply with NEMA, IEEE, ANSI, EASA, and ABMA standards. Contractors must provide a minimum one-year warranty from the date the motor is placed into service, maintain complete service records, allow City facility inspection, and deliver repaired motors within 14 calendar days of pickup or as otherwise agreed. Final repair reports are due within 30 days of job completion and must include shop inspections, test results, parts documentation, photographs, and assembly measurements.

The City will compensate contractors on either a time-and-materials basis at contractor-provided labor rates by craft category plus authorized expenses, equipment rental, materials, and parts with applicable markups, or on a lump sum, firm fixed-price basis at the City's discretion. The initial contract term is 12 months with the option for up to four additional 12-month renewal periods at the City's sole discretion. Contractors must obtain an approved purchase order before commencing work.
