About this opportunity

The Town of Greenwich Purchasing Department, on behalf of the Parks and Trees Division of the Department of Parks and Recreation, is issuing Invitation to Bid No. 7943 for the supply of infield clay to be used on ball fields throughout Greenwich, Connecticut. This commodity procurement seeks to establish a supply agreement with a single vendor who will provide infield clay upon request, with an estimated purchase volume of approximately 300 tons during the initial contract term, typically ordered in 20-ton increments with no guaranteed minimum purchase quantity. The infield clay must meet specific ASTM F1632 particle size specifications (sand 70-75%, silt less than 15%, clay 15-20%), be reddish to reddish brown in color, free of stone and debris, composed of all natural ingredients, and possess appropriate drainage and moisture retention characteristics. Bidders must submit sealed bids to the Town of Greenwich Purchasing Department at 101 Field Point Road, Greenwich, Connecticut 06830, with bids due by 11:00 AM on Thursday, January 29, 2026; pricing must be submitted in dollars per ton FOB Greenwich, Connecticut, inclusive of all shipping, delivery, insurance, and related costs, with prices remaining firm for a minimum of 90 days from the bid deadline. All bids must include a one-quart sample of the infield clay and a soil analysis report from Turf and Soil Diagnostics, with analysis costs borne by the bidder; bids lacking either the analysis results or sample will be disqualified. The awarded vendor must deliver ordered product within five business days of receiving the Town's order, and bidders must provide at least three customer references and complete all required reply sheets, including non-collusion and Code of Ethics certifications. Written inquiries regarding this procurement must be submitted to Procurement Specialist Daniel Centofanti by 11:00 AM on Thursday, January 15, 2026.

The contract term is established for one year from May 1, 2026, through April 30, 2027, with four optional renewal years subject to mutual consent of both parties; the Town reserves the right to award or reject bids within 60 days of the bid opening date. All vendors are eligible to respond to this opportunity, with no designated set-asides for disadvantaged enterprises or other restricted vendor categories. Bidders must also indicate whether pricing may increase or decrease during optional renewal years and, if applicable, specify maximum percentage increases or decreases. The Town of Greenwich is exempt from Federal and State taxes, and payment terms are net 30 days following invoice receipt and product acceptance. No prebid conference or site visit is scheduled for this procurement. The estimated total contract value has not been disclosed in the solicitation materials; however, the anticipated purchase of approximately 300 tons of infield clay during the initial one-year term provides a baseline for bidders to estimate potential revenue and project planning.
